About the Role:


The Old Harlow Health Centre is looking for a full time (37.5 hours/week) Practice Administrator, ideally with previous medical or healthcare administration experience, to support the Deputy Practice Manager in delivering an ongoing high quality service to the patients of the Practice.

The position includes a wide range of administrative duties and the provision of administrative support to the multidisciplinary team.

Duties can include but are not limited to:

  • Overseeing the recall system for patients with chronic diseases (Diabetes, COPD, Pre-Diabetes), as well as PSA recalls and Learning Disability
  • Health Checks.
  • Overseeing the cervical screening programme, to ensure that the databases are kept up to date.
  • Demonstrating excellent IT and workload management skills in supporting the Practice to have day to day operational stability.
  • Understand and comply with confidentiality and information governance policies and procedures
  • Carrying out system searches as requested
  • Processing incoming and outgoing mail
  • Filing and storing records as required
  • Scanning of patient related documentation and attaching scanned documents to patient's healthcare records if required
  • Processing referrals using the electronic referral system (ERS) if required
  • Answering incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Managing all administrative queries as necessary
  • Maintaining a clean, tidy, effective working area at all times
  • Supporting all clinical staff with general administrative tasks as requested
  • Ensuring repeat prescriptions are done accurately and efficiently following protocol
  • Explaining practice arrangements and formal requirements to new patients, ensuring that they are given an invitation for a new registration health check and ensure that registration procedures are completed.
  • Ensuring Subject Access Requests are entered in the correct timeframe onto One Trust and are completed within 28 days.
  • Liaising with reception/admin team, providing the required cover and being flexible during emergencies. Cover for colleagues in the event of absence through sickness or holidays as required.
  • Supporting with identification and notification of Health & Safety issues.
  • Promoting effective communication and relationships within the team
  • Working collaboratively as a team member to achieve the objectives of the Practice
  • Experienced medical administrators, with excellent IT and typing skills
  • Adaptable and friendly with strong administration, time management and organisational skills.
  • Excellent communicators who work in a confidential and discreet manner and are able to think on their feet in a busy working environment.
  • Able to multitask, work hard and maintain high level of attention to detail when under pressure.
  • Able to work as part of a multidisciplinary team, as well as comfortable working independently.
Some flexibility is required as you will sometimes need to work additional/alternative hours to cover for colleagues.
