Description

OVERVIEW OF MAIN DUTIES - To assist the Practice Account and the Payroll Administrator with both the internal financial systems of Community VISION CIO as well as providing payroll processing to external voluntary sector organisations and our Direct Payment clients and the provision of the external payroll provision.


Specific Duties and Responsibilities:


Processing of financial transactions onto the QuickBooks software

This will include inputting:


  • Supplier Invoices
  • Sales Invoices
  • Bank Transactions
  • Employee Expenses
  • Budgets

Dealing with day to day running of the finance office.

This will involve:


  • Preparing the monthly cheque run for suppliers
  • Banking
  • Petty Cash
  • Issuing of sales invoices for the community accountancy and payroll service and at the request of other members of staff for funds, grants, contracts etc.
  • Collating and interpreting information, liaising with staff and other outside agencies to ensure all income and expenditure for Community VISION CIO is accounted for accurately and timely
  • Maintaining and implementing financial controls where necessary within the finance office
  • Speaking to suppliers and customers where necessary including credit control.

Main Duties for Phoenix Accountancy and Payroll Services._


Phoenix Accountancy:


  • To act as point of contact for Phoenix Accountancy enquiries
  • To maintain and coordinate client bookings for the Practice Accountant
  • To support the practice accountant in administrative tasks
  • To prepare basic receipts and payments accounts from the books and records (both manual and computerised records) for review by the Practice Accountant
  • To respect confidentiality of information and follow the Data Protection and Money Laundering regulations.

Community Payroll:


  • To act as point of contact for community payroll clients
  • To process the community clients payroll using the Sage software
  • To chase and liaise with clients to ensure all payroll information and forms have been filled in and the payroll processed in a timely manner
  • To liaise with HMRC and Pension Providers
  • To file the year end returns for the community payrolls

Other general duties will include:_

  • To interact with members of the public, colleagues and representatives as a point of contact for Community VISION.
  • Ensure that members of the Community VISION team are kept adequately informed of your work and that information is provided as requested.
  • To participate in planning and team building activities within Community VISION and to contribute to the core operation and development of the organisation.
  • Take part in supervision/appraisal meetings as agreed in line with Community VISION'S policy.
  • Undertake inservice training as appropriate.
  • Respect confidentiality of all information acquired through working at Community VISION within the framework of data protection and confidentiality policy.
  • To work in a selfservicing capacity.
  • Adhere to all Community VISION's internal policies and procedures.
  • Undertake any other duties required by the project.

Salary:
From £13.09 per hour

Expected hours: 20 per week
