Description

The Immunisation administration role provides support to the Immunisation Team in the delivery of the immunisation service to children and young people including: mainstream and special schools and home educated children across Bristol, North Somerset and South Gloucestershire.

The role will also involve providing administrative support for staff flu immunisations.


The post holder as a member of the Immunisation Team will work collaboratively with School Nurses, Education staff, Primary Care and Public Health to ensure the planning and delivery of a high quality and efficient School Immunisation programme.


The post holder will provide support for children, young people and their families to access the immunisation programme in Schools and Community settings as well as administrative duties from an office base in Pill Health Clinic.


The post holder will also support the cold chain process in packing and monitoring vaccinations including during the Immunisation sessions.


Key Responsibilities

  • Maintain effective communication with children, young people and their families at all times.
  • Excellent interpersonal skills via telephone and face to face, with a variety of colleagues, carers / parents,and professionals.
  • Work collaboratively with School Nurses, Education staff, Primary Care and Public Health to ensure good communication and to support the planning and delivery of a high quality and efficient School Immunisation programme.
  • Work in collaboration with teams to maximise vaccination uptake and meet vaccination targets set by UKHSA.
  • Provide flexible administrative support including data entry during and after the immunisation sessions, clinic appointments processes and during training activities as directed by the Lead Nurse.
  • Assist with the packing of vaccines and the collation of equipment required for each immunisation session.
  • Ensure cleanliness and maintenance of equipment is maintained in line with infection control and health and safety policies.
  • Ensure that the cold chain procedures are maintained when receiving, packing and during Immunisation sessions in line with the local Immunisation Standard Operating procedures.
  • Support the delivery of the service to children and young people at vaccination sessions to include: school liaison, handling of consent forms, organisation of patient flow through the session and maintaining data, escalating any concerns to senior colleague's as required.
  • Support and listen to the concerns of the young people to alleviate any anxieties, providing reassurance about the immunisation programme.
  • Demonstrate an awareness of the complex issues surrounding confidentiality and consent for children and young people.
  • Take appropriate action in regard to safeguarding concerns following organisational and LSCB policies/ guidance escalating to senior colleagues any concerns.
  • Take a lead role in ensuring adequate stocks of equipment and resources are available to maintain the effective running of the immunisation programme.
  • Arrange immunisation sessions for the team; contacting clients by letter phone or text.
  • Keep accurate and contemporaneous records in line with organisation recordkeeping policy.
  • Work collaboratively with the team to undertake audits, implementing clinical governance recommendations and actively seek feedback from service users and their families.
  • Manage own time effectively to include the delivery of work allocated by the Immunisation Administration Coordinator, ensuring efficient use of hours to meet service needs.

  • Essential:_

  • Experience of data entry and reporting.
  • Desirable:_
  • Experience working with children and young people and schools.
  • Practical immunisation session experience
  • Experience in cold chain processes.
  • Experience of supplies ordering and stock management.

Qualifications and Training Required

Essential:

  • Functional Literacy and Numeracy Level 2 / GCSE grade A-C or equivalent including English Language and Mathematics / NVQ2 NVQ2 / level 2 diploma
  • Previous secretarial experience dealing with telephone enquiries, correspondence, office administration

Desirable:

  • Educated to AS/A level standard
  • NVQ3, NVQ3, BTEC certificate and diploma level 3
