WMG is one of the largest academic departments at the University of Warwick, providing research, education and knowledge transfer in engineering, manufacturing and technology.


We currently have a great opportunity for a Research Degrees Co-ordinator to join our very busy office, to provide administrative support to a range of activities across our programmes, as well as providing support to both prospective and current students, and staff, in the processes concerning student and programme administration.


You will need to have experience of providing administration support, preferably in an HE environment, as well as having provided a high level of customer service within a similar setting.

You will also need to have organised and managed events.

Knowledge of UKVI regulations relating to overseas student admissions and registration would be useful, along with experience of working within an international environment.

Job Purpose
To provide administrative support for WMG's research degrees (EngD, PhD, MPhil, MSc by Research and visiting research students).

To carry out and be responsible for a range of activities for the programmes, whilst providing support and excellent customer service to prospective students, current students and staff in the processes concerning student and programme administration.


Duties and Responsibilities
Student and Programme Administration


  • Maintain and administer the supervision monitoring system in compliance with UKVI and university regulations and requirements. Check updates and recording of monthly supervision meetings on Tabula IT system. Ensure compliance to this system by students and academic members of staff and ensure timely reporting of missed monitoring points to the Teaching and Learning Officer (Research), the Graduate School, Student Records and the Immigration Team.
  • Monitoring and use of the SharePoint system, ensuring timely processing of RDO elements of workflow, monitoring completion of workflow by students and academic staff, providing user guidance to students and staff, complete weekly reviews of outstanding workflows and report any issues to the Teaching and Learning Officer (Research).
  • Assist in the organisation and scheduling of any taught elements of the research programmes managed by the RDO. Liaise with current students and course office staff in booking taught modules and workshops. Ensure that all facilities, materials and equipment are available.
  • Supporting the Teaching and Learning Officer (Research) in the organisation and administration of MSc by Research, PhD, EngD and EngD(Int.) exams, including the co-ordination of examiners and the circulation of all required paperwork, printing and binding or electronic storage of documents, in conjunction with the Research Degree Examinations Officer at the Graduate School.
  • Assist in the monitoring and compliance of MPhil/PhD upgrades and student annual review processes ensuring adherence of set procedure by both staff and students.
  • Assist in the monitoring of changes to and reporting of student registration periods and study arrangements including study locations, temporary withdrawal requests and authorised absences. Provide advice to students on the appropriate absence requests to submit in line with the guidance from the Graduate School and the International Office.
  • Supporting graduation events by liaising with graduating students, WMG Academics and Warwick Conferences for organising hospitality and catering requirements.
  • Support and facilitation of WMG's student-led annual Research Degrees Conference; disseminate information and ensure that the organisers have contact with academics, finance and the marketing and communications department as required.
  • Providing advice to students on procedural and pastoral matters and directing them to specialist support where necessary. Report any sensitive or significant issues to the Teaching and Learning Officer (Research).
  • Assisting in communicating updates regarding Postgraduate Research programmes to students, staff and external customers through a range of media including WMG intranet pages.
  • Liaise with WMG's overseas centres and the MSc Overseas Programme Coordinator to provide administrative support to the overseas PhD and EngD courses in Hong Kong and the split-site arrangement with Singapore. Keep course records up to date.
  • Assist the Teaching and Learning Officer (Research) in development, implementation and accurate compliance of new departmental administrative systems.
