Description
We are looking for an enthusiastic individual to join our friendly Green Travel Bureau team.

The post holder would need to assist in providing a complete, comprehensive and responsive administration service for the Green Travel Bureau, promoting the Trust's Green Travel Plan.


Participating in the rolling programme of the Green Travel road shows and events such as "NHS Sustainability Day", "UHSussex Environment Week", "Bike to Work Week", "Car Share days" to promote Green Travel options.

The postholder would need excellent keyboard skills, knowledge of outlook/word/powerpoint/Excel and excellent organisational and communication skills. Provide a comprehensive administration service.

Participate in the Green Travel rolling programme of Roadshows, promoting green travel schemes, encouraging staff, patients and visitors to use alternative modes of sustainable transport to our hospital sites.

  • Engage in collaborate problem solving with co-workers and staff and other outside agencies.
  • Ensure that the department runs smoothly and efficiently to meet internal and government targets.
  • Manage work without supervision, seeking advice where necessary, and act independently within appropriate guidelines.
  • Use own judgement to prioritise tasks according to the needs of the service.
  • To support the Facilities and Estates Administration Team when required.
  • Collect, sort and re-direct received post. Open all incoming post unless marked to a specified member of staff. Distribute post to appropriate staff members. Take out-going post to collection point promptly each day.
  • Operate office equipment including photocopying, printing and faxing.
  • Maintain records, both electronically and by filing of paper records.
  • Follow office procedures and practices in allocated tasks.
  • Use appropriate computer-based systems to enter patient or staff information and maintain databases.
  • Monitor and maintain appropriate levels of stationery and order as and when necessary, informing the line manager of any potential problems in good time.
  • Maintain health and safety in the department and report all incidents and accidents to the Head of Administration and Green Travel Services as soon as possible, in accordance with departmental and trust policy.
  • Log all complaints relating to Facilities and Estates services, including Green Travel.
  • Administer pool car scheme and car club bookings and carry out necessary admin associated with both schemes. Monitor usage and compile monthly stat reports for the Head of Administration Services.
  • Bank any payments received for permits through the post with cashiers and produce invoices for external organisations.
  • Participate in events such as "NHS Sustainability Day", "UHSussex Environment Week", "Bike to Work Week", "Car Share days" to promote Green Travel options.
  • The postholder (at times) may be required to cover a colleague's absence at another site within the Trust
  • Perform any additional duties within the Administration Services that may be required to ensure the smooth running of the directorate Communication
