The Role


We are undergoing an exciting time in our evolution and now seek an experienced
Contracts Administrator to join our Commercial Team.

The role presents an excellent opportunity to be part of a growing company and would suit someone with an analytical mindset and strong administrative experience.

As a Contracts Administrator, you will be responsible for reviewing, renewing, and billing contracts within Xperience Group's CRM (Customer Relationship Management) databases.

The role will also require the individual to contact the relevant clients where purchase orders are required, and to update the CRM systems where licences have been added by the account managers.

You will work closely with different departments across the business, including the Account Managers, Finance Department and our Helpdesk Teams.


Key Responsibilities:


  • Maintain contracts within Xperience Group's existing CRM systems (D365 & Connectwise) which includes automatic processing of monthly/quarterly renewals and liaising with Account Managers/Commercial Director (for Dynamics renewals) on annual renewals
  • Review the contracts for price increases / amended licences, at renewal
  • Liaising with vendors for costs of renewals
  • Append relevant information where necessary when additional licences have been issued by the Account Managers
  • Prepare and send renewal to the customer and arrange purchase orders where needed
  • Plot bill the renewal in CRM/Amend Connectwise
  • Engage with Account Managers and sales personnel to help update and support the data held
  • Advise the Commercial Team of any contracts that are at risk
  • Provide information on contract status during internal Work in Progress meetings
  • Assist with contract Customer/Supplier invoicing via the financial system (Microsoft)
  • Researching and resolving contract issues.

Person Specification

Essential:


  • Previous administrative experience, ideally within a finance or sales environment
  • GCSE Maths and English grades A*C or 94 (or equivalent)
  • Proficient in all Microsoft packages, particularly Word and Excel
  • Ability to engage and build relationships quickly
  • Strong attention to detail and accuracy
  • Ability to work to deadlines and tight timescales
  • Excellent organisational skills with the ability to prioritise
  • Excellent communication skills, both written and verbal
  • Valid right to work in the UK (We do not currently hold a visa sponsorship licence)

Desirable:


  • Product knowledge of Microsoft CRM and Navision / Business Central
  • Understanding of Microsoft CRM / Connectwise
  • Previous experience of working within a Managed Services Provider
