We are looking to recruit friendly, enthusiastic receptionists with good organisation and communication skills to join our team.


A summary of this role is to provide a point of contact for patients and act as a focal point of communication between patients, doctors, and other medical and admin staff.

You will work alongside the wider clinical team and Partners to deliver excellent patient centred healthcare.


We work collaboratively with neighbouring practices as part of Chester East Primary Care Network to drive the development of sustainable models of care.


Job responsibilities

MAJOR DUTIES AND RESPONSIBILITIES OF THE POST

  • 1. Reception duties_
  • Follow relevant practice procedures to ensure efficiency of the appointment system and effective flow of patients into consulting and treatment rooms.
  • Ensure that patients are signposted to the most appropriate clinician/service.
  • Manage processes for new patients and those seeking acute temporary clinical care.
  • Amend patient records as appropriate with change of address, telephone details etc.
  • Complete registration process for new patients to the Practice.
  • Respond to all queries and requests for assistance from patients and other visitors.
  • Take details for home visits and messages for doctors, including all relevant information and relay to appropriate doctor.
  • Advise patients of relevant charges for private services and accept payment for same.
  • Ensure reception and waiting areas are always kept neat and tidy.
  • 2. Management of appointment systems_
  • Ensure familiarity with all appointment systems including regular and incidental changes.
  • Book appropriate appointments following practice procedures.
  • Monitor effectiveness of the system and report any problems to the Patient Services Team Leader.
  • Ensure EMIS tasks are actioned.
  • 3. Management of medical records_
  • Retrieve and refile records as required, ensuring that strict alphabetical order is adhered to.
  • Ensure correspondence, reports, results etc. are filed correctly in accordance with practice procedure.
  • Ensure manual records are kept neat and tidy and in good repair with all necessary information recorded correctly.
  • Photocopying notes as required.
  • Entering temporary patients onto the system.
  • Communicating lab and other results to patients as appropriate.
  • Chasing results from hospital.
  • Updating patient records where required.
  • 4. Prescriptions_
  • Receive patients' requests for authorised repeat prescriptions.
  • Deal with all prescription requests in strict accordance with practice procedures.
  • Ensure that problems and queries regarding repeat prescriptions and all follow up actions are dealt with in strict accordance with practice procedures.
  • 5. Preparation of consulting rooms_
  • Ensure that the consulting rooms are prepared in readiness for each consulting session.
  • Ensure that the full range of forms is stocked in each room.
  • Ensure that the consulting rooms are left tidy and secure.
  • 6. Operation of telephone system_
  • Receive and make calls as required, divert calls and take messages as appropriate and in line with practice procedure.
  • 7. Start and end of day procedures_
  • Open up premises at the start of day and follow practice procedure for opening up surgery.
  • Secure premises at the end of day and follow practice 'end of day' procedure/checklist.
  • 8. Computer_
  • Use of clinical system for data inputting and issuing of repeat prescriptions.
  • Use of appointment system.
  • Email communication between other members of staff.
  • Input any clinical information as requested by doctors.
  • Scanning and copying documents as required.
  • 9. Confidentiality_
  • In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.
