SAFEGUARDING AND INCLUSION ADMINISTRATOR

EFL Preston Office - Hybrid working

35 hours per week

Up to £20k

KEY RESPONSIBILITIES
The main areas of responsibility include

  • To provide administration support for the Inclusion and Safeguarding teams, including the administration of key projects.
  • To manage external communications with stakeholders e.g. training requests, request for information, availability etc.
  • To assist members of the Department with the organisation of Seminars, Conferences and / or Training, including venue bookings, facilities requirements and the collation and dissemination of information.
  • To manage the Departmental diary including Seminars, Conference and / or training sessions to ensure maximum club representation and to proactively promote and follow up the registration of all EFL Clubs.
  • To manage the registration and certification for any completed training, maintaining accurate and appropriate records.
  • To be the first point of contact for queries relating to Safeguarding and Inclusion including management of mailboxes.
  • To be responsible for the management of information uploaded onto the Club Portal System (CPS) on behalf of the Department.
  • Create and develop administrative procedures on behalf of the Department.
  • Work with the Inclusion and Safeguarding Managers and/or Officers, to ensure all requested data is collated from clubs, including but not limited to, the creation and maintenance of relevant contact details etc. providing regular feedback as required.
  • To manage the scheduling for internal and external meetings and / or committees as required.
  • To provide strong administrative support including developing multiple systems for confidential information, and to produce training, guidance and presentation material, as required by the Inclusion and Safeguarding Departments.
  • To attend and minute meetings as required.
  • To utilise, maintain, contribute and develop systems currently utilised by EFL and other relevant stakeholders e.g. Club Portal System (CPS).
  • To provide cover, guidance, and advice to the Executive Office and EFL, ensuring a consistent and timely response to internal and external stakeholders.
  • To promptly make reports as required to in connection with any matter that may have an ongoing effect on the Inclusion and Safeguarding departments or the EFL.
  • Cover and support members of the Inclusion team as required, undertaking tasks to allow for effective delivery of team requirements.
  • To maintain a professional, businesslike approach when representing the EFL with both internal and external stakeholders ensuring the reputation of the EFL is maintained and enhanced at all times.
  • Any other duties as required by the line manager.

PERSON SPECIFICATION

  • Previous experience of working in a multifaceted, administration role.
  • Experience of managing a departmental diary, organising and supporting a wide range of events and projects.
  • The ability to communicate effectively with a wide range of internal and external stakeholders.
  • The ability to work flexibly and adapt accordingly to achieve defined deadlines and KPI's.
  • Exceptional communication and interpersonal skills, both oral and written, including proven experience of influencing individuals at all levels.
  • The ability to work and remain calm under pressure and to be flexible as the role dictates.
  • Ability to develop and maintain working relationships at all levels throughout a range of circumstances.
  • Proactive approach to daytoday issues.
  • Exceptional organisational skills, ability to multitask, prioritise and manage own workload amid conflicting demands and deadlines.
  • Advanced knowledge and experience of Microsoft Office Packages (i.e., Outlook, Word, Excel and Power Point.)
  • The ability to research and collate information in various methods.
  • Ability to work in a sensitive and confidential manner.
  • Contribute to promoting equality and diversity as part of the culture of the organisation

ADVANTAGEOUS

  • Previous experience of working in a Safeguarding and / or Inclusion administration role.
  • Knowledge of the EFL, its 72 Member Clubs and the wider football family.
  • Experience of using editing software programmes such as Microsoft Publisher/Adobe Photoshop.
  • A knowledge of legislation and practice relating to Equality and Safeguarding.
