Are you a proactive office assistant seeking a dynamic position in a busy creative company? Bring your experience to our vibrant Soho offices, where you'll be a vital part of our community.

This varied role involves overseeing two sites, requiring a perfect blend of collaboration and independence.

You'll be the go-to person for keeping things running smoothly, from maintaining the office environment to warmly welcoming guests, embodying the care and craft synonymous with all MinaLimas.


Your Role:


Specific Responsibilities:

Front of house duties including:

  • Answering and screening phone calls
  • Greeting visitors, including our clients
  • Briefing visitors to ensure security and compliance
  • Preparing meeting rooms for external meetings
  • Organising and coordinating regular office and social events, including birthdays
  • Distributing post

Administrative duties including:

  • Scanning, printing and copying documents, including post
  • Maintaining office refreshments and supplies in two office buildings
  • Organising couriers both within the UK and internationally
  • Keeping up to date with payments and filing of receipts and statements

Building maintenance:

  • Managing building maintenance, utilities and contractors across three sites
  • Responding to emergency repairs swiftly
  • Keeping on top of regular repairs
  • Maintaining health and safety/ fire safety checks across three sites
  • Keeping stock of cleaning supplies
  • Maintaining security across all three sites
  • Annual PAT testing

Requirements and skills:


  • Organisational Skills
  • Ability to multitask and to see what needs to happen around the offices, whether that is restocking tea and coffee or calling the handyman to put some pictures up
  • Ensuring health and safety regulations are up to date
  • A friendly attitude when dealing with visitors, clients, and colleagues can contribute to a positive office environment
  • Flexibility and Adaptability: The capacity to adapt to changing priorities and handle unexpected tasks or challenges
  • Reliable and able to respond to emergency situations in a practical manner

Desirable:

  • Knowledge of suppliers and tradespeople in the local area

The Details:


  • Start date: ASAP
  • Location: Fully inoffice at our studio in Soho, London
  • Hours: 25 hours per week pm), open to flexibility
  • Salary: £28,000 p/a FTE
  • You must have a right in the UK

The Studio:


Welcome to Studio Minalima Founded in 2009 by Miraphora Mina and Eduardo Lima, the graphic designers who imagined and created the graphic universe of the Harry Potter film series for Warner Bros.

Their partnership has flourished through all the subsequent films with their prop designs inspiring a range of merchandise products and art prints.

This has enabled our Retail arm "The Art Printorium" to continue to expand and we are now a very successful small business with robust international growth plans to scale our business X10 in the next 5 years.
