The Role


Working within the Schools Operations Teams, the role of the Head of Estates (Senior Site) is crucial in ensuring the efficient and effective day-to-day functioning of the Senior Site Estates and Service Support Teams.

Based at the Senior Site, you will report directly to the Director of Compliance and Operations and will work collaboratively with the Estates Safety Officer (Senior Site) Estates Manager (Prep Site), Estates and Operations Coordinator (Senior Site, covering dual sites) and Director of Compliance and Operations.


Responsibilities

Line Management/Team Leadership:
  • Direct line management of the Senior Site Estates Teams (Facilities and Grounds) and Housekeeping. Leading and motivating the Estates teams to meet performance targets. Provide guidance and mentorship to team members. Ensure timekeeping of staff is in accordance with employment contract terms.

Planning:

  • Contribute to strategic and operational planning needs to ensure operational teams are directed and managed to deliver as may be required by the Director of Compliance and Operations/COO.

Planned Preventative Maintenance:
  • Collaborate to develop and implement a robust preventative maintenance programme.

Financial:

  • Contribute to budget planning and ensure estate operational budgets are managed effectively.

Procurement of Materials and Stock Control:
  • Ensure procurement of materials are competitively sourced and associated documentation and stock control is well managed.

Stakeholder Involvement:

  • Liaise and coordinate with other school departments and relevant stakeholders, as appropriate, to ensure smooth day to day operations, communicating effectively to ensure collaborative partnerships are built.

Site Records:

  • Produce and maintain building folders, detailing all aspects of the fabric of the buildings, thus providing stakeholders with access to information such as locations of services, systems, and equipment, including operating and emergency procedures, maintenance records, relevant risk assessments, etc.

Estates Record Keeping:
  • Maintain accurate records of maintenance activities, including repairs and inspections, maintain an inventory of tools, equipment, and supplies.

Quality Assurance:

  • Implement and monitor quality control procedures to maintain high standards of product/service delivery. Address any issues related to quality and operational performance.

Energy Performance:

  • Identify and implement energy efficiency improvements.

External Contractors:

  • Identify and source appropriate contractors to support site operations. Oversee and monitor contractors' suitability and performance. Manage Contractor approval and applicable permit to work procedures for external contractors visiting site, including Health and Safety and Safeguarding procedures.

Risk Management:

  • Identify potential risks and develop contingency plans. Implement risk mitigation strategies to safeguard operations.

Performance Metrics:

  • Establish key performance indicators (KPIs) and regularly evaluate operational performance. Use datadriven insights to make informed decisions and improvements.

Compliance:

  • Work with the Facilities Supervisor/Safety Officer and Compliance Officer to ensure that the school site complies with and implements procedures in respect of the Health & Safety at Wok Act, The Fire Safety Reform, Independent Schools Inspectorate and other relevant legislation and planning laws. Ensure staff and contractors adhere to the school health and safety policy, procedures and statutory legislation.

Out of Hours:
  • Manage the out of hours and emergency callout arrangements as may be required.

Skills and Expertise

  • Proven experience as a Head of Estates or similar role.
  • Ideally undertaken an approved maintenance apprenticeship/ training or have some trade skills. Affiliation to a recognised trade body or the ability to demonstrate a trade competence (i.e. electrical, plumbing, carpentry etc.) would be advantageous.
  • Computer literate with experience of Operational Management Systems (recognised software or selfdeveloped).
  • Health and Safety Knowledge, ideally a recognised qualifications (IOSH, NEBOSH etc.).
  • Proven ability to lead and motivate teams to achieve operational excellence.
  • Personable with excellent communication skills.
  • Strong analytical and problem solving skills and the ability to make informed and timely decisions to maintain the smooth running of operations.
  • Flexibility to adapt to changing priorities and business needs.
  • Ability to align operational activities with the longterm strategic goals of the organisation.
  • Proficiency in stock control, budget development and management.
  • Experience in project management and the ability to oversee multiple projects simultaneously.
