Job Purpose To support the Exams Officer to manage the administration and invigilation of all internal and external exams and to assist with the administration of learner records, registrations and certification.

Hours Full time — 30 hours per week, 52 weeks contract (0.8)

Salary £21,164.00 to 22,510.80 per annum, pro-rata


Key Responsibilities:


Supporting Registration, Exams & Certification Administration:

  • To assist in all areas of exams, registration and certification administration where required
  • To provide administrative support to the Exams Officer, contributing to the recording of learner aims and the Il-R
  • To liaise with teams across College, students and families as well as varying Awarding Bodies

Supporting the Co-ordination and Under-taking of Exams:

  • To assist with the ordering of papers in required formats from awarding bodies and secure storage
  • To assist the Exams Officer to ensure all internal and external student examinations are effectively planned and organised in a timely manner in accordance with exam regulations
  • To support the Exams Officer in the coordination and supervision of the team of invigilators, making detailed arrangements for each exam sitting
  • To plan and produce timetables, seating plans and desk cards for all exams
  • To arrange the printing of exam papers and delivery/collection of exam materials to and from all exam rooms (from secure storage to)
  • To undertake exam invigilation in line with JCQ and Awarding Body requirements
  • To support the Exam Contingency instructions
  • To support the Exams Officer with collating Access Arrangement reports and ensuring appropriate levels of support are in place during exams
  • Be aware of and comply with policies and procedures relating to child protection and safeguarding; health and safety and security; confidentiality and data protection and complete online training, when directed

Skills, Knowledge and Expertise:


  • Minimum of Level 2 in English & Maths
  • Skills and Expertise
  • Ability to use Microsoft software including Excel, Word and Outlook and IT systems
  • Ability to manage high volume workload in a busy office, maintaining a high level of personal organisation and meeting deadlines
  • The ability to use online portals, platforms and management Information s stems
  • Ability to function well as an effective member of a team and demonstrate team working to deliver a comprehensive and consistent service
  • Ability to build effective relationships with teams and students, inspiring trust and confidence
  • Attention to detail and high level of accuracy, ensuring tasks are completed on time to required standards
  • Ability to solve problems, make good judgments and take decisions
  • Ability to interpret and follow exam regulations and requirements to enable students

  • Previous experience in a busy administration office
  • Experience of using IT systems and management information s stems
  • Knowledge of JCQ ICE instructions, Awarding
  • Bodies and the Individualised Learner Record Il-R
  • Strong Microsoft Office skills particularly Excel and knowledge of Google drive
