Job Description:
AECOM's Major Pursuits Team (MPT) manages the company's largest and most strategic tender submissions across both established and emerging markets.
The
Bid Coordinator will generally support the Bid Manager or Associate Bid Director, having read and understood the client requirements.
They will devise draft bid programmes, coordinate inputs from Subject Matter Experts and track progress against tasks and individuals for reporting to the bid lead.
The Bid Coordinator work collaboratively with technical and operational colleagues, writers, graphic designers and the MPT leadership team. The role covers the full procurement lifecycle including EOIs, PQQs and proposals. Bid Coordinators should be capable of successfully leading tasks such as EOI and PQQ form completion.Responsibilities:
- Review RFPs and other related documents and support in gathering proposal information to create winning responses
- Review existing content where relevant and provide the Bid Manager with relevant information
- Prepare templates, CVs, case studies and occasionally storyboards; chase content contributors as required
- Coordinate the preparation of identified expression of interests, prequalification questionnaires and proposals
- Ensure a winning, compliant, error free document arrives with the client in the correct format, meeting the deadline
- Break down submitted bids for a library of prewritten proposal content, where required
- Assist in the preparation of presentations for specific pursuits
- Identify and share lessons learned as inputs to the continuous improvement of the bidding process and tools
- Supports the team in ad hoc activities to develop our bidding excellence
- Proactively identifies improvement areas in our activities and shares these with MPT leadership, working to resolve / improve issues as directed
Qualifications:
- Excellent verbal and written communication skills along with experience of coordinating multidisciplinary proposals of a high strategic value
- An eye for detail, not accepting second best and taking personal pride and responsibility for all aspects within their control
- A sound working knowledge of Microsoft Excel, Word and PowerPoint
- A flexible approach to supporting bids and business development activities across the UK & Ireland and CE
- The ability to work professionally and collaboratively and build credibility with senior colleagues
- The ability to work collaboratively with internal clients and to tactfully but effectively chase others for contributions as needed
- A methodical approach to assisting in the administration and production of bids
- The ability to work positively under pressure and deliver quality output to deadlines
- The drive to improve and adhere to processes / systems and the motivation to contribute to and support bid teams
- An experienced and efficient multitasker
