This post is part of a professional multi-skilled team working within the paediatric service of the Audiology Department.

The key responsibilities of this role are to provide efficient co-ordination of Children's hearing services, maintaining pathways and providing evidence of strict adherence to safeguarding policies and procedures for children and young people.


  • Provide administrative support for the Paediatric Audiology service
  • To work closely with the Paediatric Audiology team to safeguard children and young people
  • To maintain effective pathways
  • To provide a central point of contact for all users of the service
  • To promote the principals of Family friendly hearing services for children/parents
You will work in the ENT and Audiology Directorate. The role will be based in the Audiology Administration office with a team of experienced appointment clerks.


Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.
PRIMARY DUTIES & AREAS OF RESPONSIBILITY

  • To receive and manage referrals to Children's hearing services ensuring efficient access to the appropriate service for children and families in Plymouth and the surrounding areas in accordance with Trust waiting list policies.
  • To centrally manage the administration generated from community and specialist Hearing assessment clinics (HAC's).
  • To monitor and analyse data producing regular reports and to inform lead clinicians and admin team leader of any appropriate action that needs to be taken.
  • To have an overview and understanding of the community child health services, ENT, Audiology, NHSP and school hearing screening and act as a liaison between all disciplines.
  • To liaise closely with other agencies i.e. Teachers of the deaf, school nurses, health visitors etc.
  • Knowledge of Trust policy and procedure in areas of consent, health records and information management.
  • Maintain databases and registers of specific populations, i.e. deaf children, Down syndrome, cleft palate, cystic fibrosis children.
  • Ensure continuity of care where a child requires ongoing input from the multidisciplinary team.
  • To ensure that a clear understanding is obtained surrounding Data Quality, Data Protection and Patient Information Management System (iPMS) and be able to work within these guidelines at all times.
  • To ensure that Patients hospital notes are available and prepared where necessary and any loose documents are filed in the appropriate section and to tidy and repair damaged Health Record Folders.
  • To arrange, facilitate and minute meetings and ensure related correspondence is circulated to the appropriate parties in line with instruction from the head of Paediatric Audiology or other members of the team.
  • To receive and deal with confidential telephone enquiries from patients and be able to handle patients' complaints. Patients may be anxious or difficult to communicate with and there may also be language barriers.
  • Assist with the In Touch system ensuring Health professionals complete the outcomes, and that patients/ carers are made aware of any delays in clinics, updating the information on the In Touch board. Assisting patient with the checkin on the In Touch system
  • To book new and followup appointments according to clinician requirements and clinic booking rules
  • To undertake other duties within the post holders competence/career development plan as may be necessary from time to time, as determined by Administration Team Leader.
  • To provide some secretarial services involving the accurate typing of clinical letters, reports and appropriate presentation of correspondence
