Event Coordinator Emea - London, United Kingdom - Aquent
Description
**We're looking for a coordinator to join our client's team on a 12 month contract and play a key role insupporting their internal and external facing events across EMEA. They will be a member of a broader,
seasoned group of event professionals, who are based across the local offices in EMEA. This role will
be based in London and will report directly to the EMEA Events Lead.
The scope of this role is broad as we are looking for a coordinator who can flex to support across a wide
range of activities with different audiences:1)
Primary focus:
Supporting the curation of unique and memorable experiences for the
employees which leave people feeling informed, connected and with a sense of belonging. This
can involve delivering a wide range of events including office-wide celebrations, all teams
conferences and learning days, executive level multi-day offsites.
2)
Additional focus:
Supporting public facing events and experiences which drive conversations
around the company's titles, talent and the brand. This can involve delivering premieres, launch events,
Fan screenings or activations.
Across both workstreams the coordinator will form part of a cross functional team that is helping to
create, shape, execute and manage these events. This is a hands-on role which requires office based
planning work and onsite delivery which may involve multi day travel.
Role Spec:
- Assist in daytoday administrative support (e.g. team admin, Coordinate/calendar meetings
- Coordinate preevent logistics, including attendee communication and guest lists, tracking
rooming and transportation lists, banquet event orders and offering broad support to the
Event Specialists and Event Managers in the team.
- Manage onsite logistics, including guest check in, audience management and details which
- Inventory management and maintenance for the events team
- General support for adhoc events
- Collaborate with external vendors and crossfunctional partners in teams like Travel, Finance
- Proven event experience 35 years of versatile event experience working either as part of an
- You can demonstrate knowledge around attendee communication/guest list management,
experienced being part of an onsite event delivery team across a variety of different events
and understand the agility and composure required in a live event environment.
- Excellent organizational skills, awareness of deadlines and high attention to detail
- Curiosity to innovate to make the work better interest in developing best practice and
- Strong communication skills both written and verbal, sensitive to cultural nuances and D&I
- Ability to work well under pressure and multi task across projects, while remaining flexible
- A proactive and positive thinker and a constant contributor to the team
- Google Suite knowledge inside and out
- Willingness to travel the role will involve onsite delivery responsibilities across the region
