ADMINISTRATION ASSISTANT
Responsibilities:
- Maintain a clean and organized office environment.
- Providing excellent customer service to clients.
- Assist in drafting and proofreading internal and external communications.
- Handle incoming and outgoing calls from customers.
- Accurately input data into databases and spreadsheets.
- Maintain and update company records and files.
- Assist in the organization and archiving of documents.
- Provide administrative support to various departments as needed.
- Greet and assist visitors and clients in a professional manner.
- Maintaining and updating contact lists.
- Maintaining and organizing physical and electronic files.
- Managing confidential information with discretion.
- Assisting with enquiries and providing information.
- Processing orders and invoices.
- Prioritizing tasks and deadlines.
- Adapting to changing priorities and tasks.
- Resolving administrative challenges as they arise.
- Addressing enquiries and concerns promptly and courteously.
- Handling routine administrative requests.
- Managing multiple tasks simultaneously.
Requirement:
- Proven work experience as an Administrative Assistant or in a similar role.
- Strong knowledge of admin principles, practices, and procedures.
- Excellent numerical and analytical skills with a keen eye for detail.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Typing speed and accuracy.
- Data entry and recordkeeping skills.
- Excellent organizational and multitasking abilities.
- Strong attention to detail.
- Ability to prioritize tasks effectively.
- Proficiency with office equipment (e.g., photocopiers, fax machines, computers).
- Take initiative to complete tasks, seek opportunities for process improvement, and contribute positively to the workplace.
- Capacity to identify and resolve administrative challenges independently.
- Willingness to perform a variety of administrative duties as required.
- Adapting to the evolving needs of the organization.
- Ability to handle unexpected situations with composure.
