Conferences and Membership Coordinator
Reports to:
Senior Director of Conferences and Membership, London
Job purpose
The Conferences and Membership coordinator is part of a growing and dynamic Global Conferences and Membership team with a primary focus on supporting the Conferences and Membership department in the London Region.
The team oversees all facets of conference planning and execution of events in EMEA, which includes over 50 virtual and in-person conferences annually throughout EMEA as well as the Annual General Meeting and Regional Annual meetings.
This role also manages Membership for EMEA in conjunction with the rest of the team.Duties and responsibilities

Conferences supporting Global Team:_
- Support the running of 50 + conferences and webinars annually from set up to conclusion in the London region and the administration for other conferences and events when required
- Work with team to prepare all conference requirements from nametags, delegate lists, registration reports, invoices, receipts, evaluation forms, signs and other relevant conference materials
Conferences Coordination and profiling:_
- Managing the planning and delivery of events and projects, both physical and virtual
- Experience and understanding of virtual event platforms essential
- Inviting and liaising with senior individuals and speakers globally
- Setting up test calls with panels
- Run several aspects of inperson events such as electronic registration, room setup, F&B and simple budgets.
- Coordinate and format presentations for screen show using PowerPoint
- Preparing digital materials for distribution. Proofing skills essential.
- Post agendas and update upcoming conferences on the Association's website and on our virtual platform using internal database (CMS)
- Any design skills are advantageous
- Respond to queries from speakers and delegates and proactively engage and communicate effectively to make for a positive experience
- Play a role in the organization or our AGM
- Be able to travel and work overtime if required
- Enter delegate registrations into the database system and process payments when required
Membership:_
- Provide excellent customer service answering queries from existing or potential members
- Perform the necessary research in assisting to source potential members within Europe. E.g. website research/ entering contact details into a spreadsheet, thus helping to create target lists
- Send out membership materials as appropriate
- Keep records up to date and proactively organize data in relation to membership
Relevant Skills / Abilities
- Ability to work well in a deadline driven environment prioritize, multitask, follow through with logístical details and possess stellar followup skills
- Dedicated work ethic, quick learner, proactive and demonstrates initiative and resourcefulness
- Experience in events marketing beneficial
- Comfort with and willingness to learn the basics/work with various technology platforms
- Strong teamplayer and also ability to work autonomously
- Design skills and experience a plus
- Strong working knowledge of Microsoft Office including Outlook, PowerPoint and Excel
- Good communications skills, both written and verbal, with the ability to converse with seasoned professionals
Experience
- At least 3 year's experience in a business environment
- Event coordinating or event marketing experience strongly preferred
Schedule:
- Monday to Friday
Work Location:
Hybrid remote in London
