Festival and Events Assistant - Bristol, United Kingdom - Quarter
Description
This role is a full time position (40 hours per week) based at Racks Bar and Kitchen with the workload being split between working for Racks Bar and Kitchen and for HowTheLightGetsIn festival.
The split will vary depending on the time of year for example more time will be spent working on HowTheLightGetsIn in festival months and more for Racks Bar and Kitchen over the lead up to the busy Christmas period.

Key responsibilities:
Racks Bar & Kitchen:
- Support the Event Manager in the booking and planning and executing of the venues events
- In line with the above, this role will involve working at least one event per week with the Front of House team
- Responding to enquiries, conducting show arounds, organising preorders, taking payments and event planning.
- Answering the phone and competently dealing with customer queries
- Maintaining good relations with the Front of House team and ensuring all correct information regarding events is handed over to them and the relevant managers.
- Assisting the Events Manager in the smooth execution of all events on the day/night of their happening.
- Uphold all elements of customer care, courtesy and customer satisfaction are evident in every service situation.
- Assist in the recruitment of 120 volunteers for HTLGI Hay and London, via RegFox
- Assist in the recruitment of Steward Captains for HTLGI Hay and London
- Help plan shifts, rotas and training for all volunteers and the different volunteer teams
- Oversee the traffic management during build and pack down for the festival
- Coordinate and oversee the steward captaining and volunteers for the whole event weekend
- Issue all contracts for Traders
- Act as the point of contact for traders in advance, and during, the festival
- Manage the accreditation office on occasion at _HowTheLightGetsIn_
What we are looking for:
- Excellent organisation
- Good time management and the ability to prioritise tasks
- Good working knowledge of Microsoft office
- Front of house experience in festivals/ events
- A team player
- A people person
- A gogetter who is willing to get stuck in to the different elements of this role
The role will require a stay away from home for the duration of the festivals: including the build and pack down.
Shift pattern:
Whilst a substantial part of this role is carried out during 'normal' working hours (9am - 5pm, Monday - Friday), this is a role that will involve working some evenings and weekends routinely and as required by the business - you should expect at least one day a week to be outside of these hours.
You won't be working every evening and weekend though You will also be required to spend time away from home during the festivals - this can be for up to 3 weeks at at a time.
