Role Description


Supports the Materials Management Supervisor and Inventory System Manager in the delivery of a safe and efficient materials management service tour clients.

Utilising handheld bar coded data capture systems, the Omnicell automated inventory management system and raising replenishment orders in the oracle SBS system to order the defined and agreed items.

When the materials are received processing and physically moving them to and putting away the items at the point of care.

Expediting and escalating issues in a timely manner whilst being communicative with the client teams.

Roles and Responsibilities
To be fully conversant with the Supply Chain Department's Materials Management policies, procedures and safe systems of work.


  • To use a hand held device to scan bar codes where required and order product lines to bring stock levels to agreed max stock levels, based on a top-up system.
  • Manage and maintain the Omnicell closed system cabinets using the correct procedures and safe systems of work.
  • Promptly deliver products to and manage Omnicell systems within the Trust. Including being responsible for the first line management of unfulfilled lines and review the reason why they are unfulfilled and take the appropriate action.
  • Manage the supplementary restocks in the Omnicell system. Including carrying out the routine cycle counts to verify stock levels in the Omnicell System.
  • Expedite missing/delayed items in Omnicell.
  • Raise orders via Oracle SBS or NHS Supply Chain EDC or other on-line systems. Including the ordering of alternative products from an approved list up to the agreed designated value.
  • Manage first line invoice queries and take appropriate action to escalate to the wider HPL Procurement and Supply Chain Team.
  • Physically deliver roll cages, flat bed trollies to wards and departments, break down roll cages, unpack and replenish cabinets, stores or store rooms in relevant wards and clinical departments whilst ensuring that first expired first consumed stock rotation is carried out continuously and any damaged/expired goods are appropriately removed from the point of care. Ensuring appropriate signatures are obtained.
  • To ensure that Wards and Clinical Departments have sufficient quantities of all product lines to carry them over weekends and Bank Holidays.
  • To ensure that deliveries received are correct against the requisition, including unit of issue. Investigate discrepancies and resolve queries.
  • Arrange uplifts and request credit where necessary for the relevant department.
  • To assist Materials Management Supervisor in assimilating, processing and keeping Materials Management performance data and records using key performance indicators (KPI). Complete all documentation necessary when required.
  • Carry out routine cycle counts to verify stock levels in the Omnicell cabinets and for non-cabinet areas carry out stock checks in line with the requirements of the company leadership team.
  • Control outstanding orders and escalate where appropriate.
  • Manage Supply X System for their area and escalate where appropriate.
  • At times of high demand or when the need for special requirements exist within a department or ward, attempt to source products from elsewhere in the Trust in collaboration with the Client an colleagues this may including asking neighbouring Trusts or the Nuffield for support.
