Full Job Description

Job purpose:

To provide a highly effective administrative support to the Survey Team in the role of administrator, predominantly with the creation of survey reports, and the planning, collation, creation and submission of site documentation (including work package plans, risk assessments, task briefing sheets and permits) to ensure the highest standards of delivery.

Accurate and detailed record management for all Survey Team functions.

To undertake delegated duties as required.


Exciting opportunity to be a part of a growing, vibrant team in a multi-disciplinary engineering survey and design consultancy, delivering projects in mission critical sectors such as rail, transport, data centres, nuclear and utilities.

Provide holiday and sickness cover for other office and project administration team members.


Key responsibilities:

  • Ensuring on a daily basis the Survey Team are sending in site data, filing data onto company server ready for inclusion in survey reports.
  • Liaising with the Survey Team to produce survey reports with information provided, accurately and on time. This will include compiling of raw data, images, layout drawings etc. Submitting approved reports to clients.
  • Produce all required site documentation for client approval to enable the Survey Team to attend site and undertake planned works. Ensure approved documentation is available to the Survey Team for use.
  • Ensure all completed site documentation is received back from the Survey Team, checking for completion and electronically saving down onto the company's project folder system. To include H&S documentation such as Toolbox Talks, Site Inspections, Plant Inspections, Close Calls etc and updating applicable databases with records.
  • Responsible for ensuring Survey Team project folders contain all required documentation in line with CDM regs.
  • Survey Team Meetings prepare agenda, attendance and minute taking (as required).
  • Acting as the interface between the Survey Team and the CAD Team to ensure raw markup data is communicated and completed CAD drawings are made available for review and adding to reports.
  • To be the contact at the Kent office to receive/return plant and equipment hire.
  • Assist in planning engineers movements to enable the company to undertake Fatigue monitoring and compliance. Ensure all required Fatigue Exceedance approval documentation is completed and signed off in a timely manner.
  • Diary management to ensure compliance is maintained in regards to plant inspections, site inspections etc.
  • To play a pivotal role in developing and improving the existing processes and client reporting to support the efficient management of administrative services in relation to maintaining ISO 9001, 14001 and 45001, Achilles UVDB and Railway Industry Supplier Qualification Scheme (RISQS) certification.
  • Liaise with Project Administrator / Director's PA and other administrators to ensure good communication and administrative operations between all parties.
  • Any other tasks or duties as directed by the Survey Team Manager, Group Compliance Manager or Directors of the business.

Essential Skills for this Post:

  • Experience of Project Administration and/or document control.
  • Highly proficient IT skills including competence in MS Excel, PowerPoint and Word.
  • Relationshipbuilding skills, internally with the team and with clients, suppliers and contractors
  • Excellent administration skills to provide support and assistance to the Survey Team
  • Ability to communicate confidently and clearly (both oral and written communication)
  • Accuracy and attention to detail
  • Ability to work under own initiative
  • Excellent time management skills, ability to meet tight deadlines
  • Confident in being able to ask questions to ensure task requirements are understood
  • Ability to influence others and coordinate work flows
