Job Purpose:
To work as part of the Primary Care Team, providing support to GP's and all HCP colleagues in the practice
Park House Surgery are a busy practice situated in Bagshot, looking to employ receptionists with excellent communication and phone skills.
As the first point of contact, these roles are integral to our approach to patient care both face to face and on the telephone.
You will be expected to receive, assist, and direct patients either in person or via phone in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.
Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
Key Responsibilities:
These will vary depending on the division of the workload ie. Reception position 1, 2, - Handle patient requests promptly and courteously, redirecting queries as required eg. Doctors, Nurses.
- Ensure filing and record keeping is undertaken with a high degree of accuracy and efficiency.
- In accordance with the Health and Safety at Work Act 1974, ensure a safe area of work for staff and patients visiting the Medical Centre.
- Be competent in the use of the computer system to aid the efficient day to day running of the surgery.
- Have a good working knowledge of the various services, both Private and NHS, provided by the Medical Centre.
- Open, stamp and distribute all incoming post to the Medical Centre.
- Have a good working knowledge of the telephone system.
Main Duties:
- Ensure the doors are locked and unlocked at the appropriate times.
- Prepare consultation schedules am and pm to support any computer breakdowns.
- Ensure the telephone system switches on/off at the appropriate times.
- Answer all telephone calls and handle/pass on as required.
- Book all patient appointments routine and same day.
- Recall and advise patients of test results from the computer system, seeking medical/nursing involvement where indicated.
- Take details of home visits and action promptly.
- Restock consulting rooms daily for nonclinical items eg. stationery.
- Book hospital transport for patients, as required.
- Record messages for the Doctors in the clinical system, ensuring all relevant details are captured.
- Know the procedures to contact the Duty Doctor, if required.
- Deliver coffee to the Doctors consulting rooms am/pm.
- Ensure all windows and doors are closed and locked at the end of the day, and the alarm set before vacating the Medical Centre.
- Any other duties which may be assigned by the Reception Team Leader.
Knowledge and Experience required:
The job holder should ideally have previous reception/customer service experience, preferably in a medical environment. Keyboard skills are essential to the role. The job requires a degree of flexibility to cover absences from time to time. The role would suit a team player with excellent communication skills, and an ability to work under pressure.
