Oleochem are currently seeking an Operations Administrator to join our team, based in the Aberdeen office in a permanent position.

The applicant should have previous experience of working within a busy office environment and are expected to have competent computing / reporting skills and an in-depth knowledge of Microsoft Office.


As an Operations Administrator you will be responsible for carrying out a wide range of office and warehouse duties to support the operation of the office and to ensure that orders are processed in accordance with the client's requirements.

In the role of Operations Administrator, you will be responsible for:

  • Coordination and processing of orders, including: quotations, procurement, packing, dispatch and invoicing.
  • Checking and photographing of laboratory equipment prior to rental and again on return to ensure working order.
  • Assisting with HR management, including: maintaining schedules, arranging training and updating personal details.
  • Procurement of office stationery and equipment as required.
  • General office duties, including document formatting, filing, coping, and mailing.
  • Maintaining records as part of duties to ensure compliance with company procedures and ISO 9001 quality policy.
  • Maintaining communal and own working area to ensure a tidy, healthy, and environmentally friendly office.

ABOUT YOU

Qualifications & Training
Required

  • Scottish Standard (or equivalent): English & Administration at Nat. 5 Grade (Standard Grade 3), and Maths at Nat. 4 (Standard Grade 4).
Desirable

  • Scottish Standard (or equivalent): Chemistry & Computing at Nat. 5 Grade C (Standard Grade 3).
  • First Ait at Work / Emergency First Ait at Work.
  • Transport of Dangerous Goods by Air (IATA).
  • Transport of Dangerous Goods by Sea (IMDG).

Skills, Knowledge & Abilities
Required

  • Competent computing, reporting, and formatting skills.
  • Hold a clean UK driving licence (Cat B
  • Car).
  • Ability to work unsupervised and under pressure.
  • Ability and willingness to learn quickly.
Desirable

  • PC Passport, ECDL or MOS certification.
  • Knowledge of lab equipment and consumables.
  • Knowledge of INCOTERMS / freight operations.

Experience
Required

  • Experience in a varied office environment including coordinating orders and warehousing.
Desirable

  • Previous experience working in the offshore or production chemistry industries.
