ABOUT THE JOB:

As Executive Assistant (EA) you will provide comprehensive administrative support to our President, EMEA. This is an extremely visible role within Weber.

You will have access to commercially sensitive information and play a key role in ensuring that the President EMEA is effectively prepared and briefed to work across his diverse portfolio of responsibilities, projects, stakeholders and countries.

Your natural networking and stakeholder management skills will give you the foundation to rapidly understand our business and provide solutions for Board Papers and ad hoc presentations that zero in on the key issues.


You will be a valued member of the President EMEA's team - helping him to "read the temperature of the room" and providing qualitative and quantitative feedback from colleagues.

This is a role that can evolve as your strategic and commercial acumen develop and Weber continues it's rapid EMEA growth plan.

KEY RESPONSIBILITIES:

Executive Support: Provide comprehensive administrative support including managing inboxes and correspondence, scheduling meetings, coordinating travel arrangements etc.

Diary Management: Efficiently manage the President EMEA's schedule, including prioritizing appointments, coordinating internal and external meetings, and ensuring optimal use of time. Anticipate scheduling conflicts and proactively resolve them to optimize productivity.

Travel Coordinator: Arrange all aspects of travel including flights, accommodations, ground transportation, and visas. Ensure travel itineraries are well-planned, cost-effective, and aligned with the President, EMEA's preferences and business objectives.

Event Organisation: Plan and coordinate various events, including meals, engagements, workshops, team activities, and offsite visits. Ensure logístical arrangements are made, technical setups run smoothly, and all participants are well-informed.

Business Support: Handle confidential materials and documents with the utmost discretion and integrity. Provide general administrative support as needed, including managing sensitive information, maintaining files, and assisting with special projects.

Document/Presentation Preparation: Prepare documents and presentations, including drafting, editing, and formatting business documents. Coordinate content with other stakeholders, pre-empting key issues and creating commercially savvy Board level papers and presentations.

Management Team Liaison: Act as a liaison for the Regional Leadership Team (RLT) ensuring members are well-prepared for meetings and key events. Coordinate logistics and provide support as needed to facilitate effective communication and decision-making.

Personal Administrative Support: Provide personal support to the President, EMEA such as managing their personal schedule, arranging personal travel, and assisting with ad hoc requests.


ABOUT YOU:


  • Previous experience as an EA, preferably supporting senior executives within a fastpaced, global environment.

Attention to detail: Demonstrate meticulous attention to detail in all tasks, from preparing documents and reports to managing logistics for meetings and events. Ensure accuracy and consistency in all communications and materials.

Flexibility and Diplomacy: Adapt quickly to changing priorities and evolving situations. Demonstrate initiative and consider multiple options and solutions. Exercise diplomacy and tact in all interactions.

Initiative and Commercial Acumen: Proactive, initiative-driven with a track record of taking ownership and driving tasks through to completion. Excellent problem solving skills and a pragmatic approach to challenges, with the ability to think critically, demonstrate commercial acumen and propose solutions.
