Description
Work closely with one or more Senior Leaders in the International Region to provide day-to-day administrative support.


Help the Senior Leaders that this role is supporting to make best use of their time by dealing with secretarial and administrative tasks for them directly and their associated team members.


Need to gain extensive knowledge of their organization's set up, who the key personnel are (inside and outside the business) and what the aims and objectives of the organization are.


The Senior Leaders that this role is supporting often work extremely closely with their Executive Administrative Assistant, trusting that work will be handled efficiently in his or her absence.

For this reason, the Executive Administrative Assistant working relationship is often very close, so discretion and confidentiality are essential attributes.


Key responsibilities include:

Arranges appointments and major travel itineraries on own initiative incl. travel and hotel reservations.
Attends formal and informal management meetings to take notes and produce draft minutes.
Manages administrative tasks requiring some planning and organizing of people, materials and facilities.
Organizes and expedites flow of work through manager's office. Initiates follow-up action. Establish and maintain effective working procedures and filing system.
Drafts correspondence for approval.
Routes or answers routine correspondence not requiring the Senior Leaders attention.
Communicates and/or co-ordinates instructions and wishes with various individuals and/or departments.
Distribution of internal communication.
Organize conferences.
Assists with budget preparation and monitors monthly cost centre analyses.
Assists with Vendor relationship management, Purchase Order creation & administration.
Submit Expense Reports on behalf of the Senior Leaders.
Effectively prepare and edit presentation materials, using templates, layouts, and formatting to create reusable content.
Prepare, run and / or format reports and submissions.
Contribute as a member of the Teradata International Leadership team.
Liaising with EA's in a cross regional function.


Requirements:

Minimum 6 years secretarial experience at a senior executive level in similar environment.
Ability to communicate effectively at all levels of the organization.
Team Player.
Ability to work various time zones to accommodate the Senior Leaders International schedule.
Energetic/flexible/adaptable and able to work in a progressive and fast paced environment.
