James Kay Associates are looking for a Trusts Administrator to join a legal firm in Nottingham on a full-time permanent basis.

Salary - £30,000 - £50,000 DOE

  • Detailed knowledge of HMRC's Trust Registration Service (TRS) registration requirements
  • Knowledge of reporting using the Capital Gains Tax on UK Property service
  • Knowledge of or previous use of professional tax software
  • Maintaining TRS records annually and closing TRS records as required
  • The completion of documents required in trust administration including trust and estate tax returns, annual trust accounts and inheritance tax accounts including 10 year periodic charge returns.
  • Ability to advise trustees on their responsibilities under TRS reporting
  • Ability to advise trustees on their responsibilities under wider tax reporting including income tax, capital gains tax, inheritance tax (and possibly stamp duty please check), could say "Knowledge of trustee reporting responsibilities for various taxes"
  • Liaising with beneficiaries as required
  • Liaising with third parties such as financial advisers and HMRC
What you will be responsible for

  • The development of an interactive database of trust matters and the associated collateral to deliver a streamlined service
  • Detecting individual trusts from our existing records and, with the assistance of a junior team, populating a composite database of all Trust matters under management
  • Promoting our trustee services to the trustees of all trusts so identified
  • Overseeing the streamlined retirement of former partners and the transition to RTL/new trustees
  • Providing regular reports on progress to Private Client Lead Partner
  • Coordinating the annual management of each trust to include;
  • Preparation of annual report to trustee
  • Maintenance of internal compliance requirement
  • Coordination of trustee meetings/agendas and minute
  • Liaising with trustees and beneficiaries throughout or/coordinating such matters via matter manager
  • Preparation of annual trust accounts
  • The preparation of annual trust tax returns/collating details for provision to our partner accountancy practices and maintenance of links with those practices
  • Cash flow management
  • Liaison with intermediaries; stockbrokers, insurance brokers and land agents
  • Provision of tax advice to trustees and settlors and scheduling distributions to beneficiaries or the commissioning of such advice/provision of instructions to procure such advice
  • File management
  • Effective, efficient and timely management of all matter
  • Proactively developing new business opportunities from internal crossreferrals, existing clients and other professionals
  • Meeting agreed targets for chargeable time, fee income generated, billing and fee collection
