Learning and Planning Coordinator (Maternity Cover)

Salary:
£26,000


Full-time - 40 hours per week

Fixed Term Maternity Cover


The Learning and Planning Co-ordinator is responsible for the day-to day overview of all associated planning and administrative systems in support of the Learning department and Learning Centre at the Gallery.

Working with the team of Learning Programme Assistants and the Contact Centre, they are responsible for ensuring effective logistics of group bookings, Learning Centre diary management and maintenance of spaces and associated materials and resources.


Led by the Learning Centre and Planning Manager, the post holder is expected to work as a key and active member of the Learning Services and wider Learning team to ensure all aspects of group, space and learning resources bookings and coordination; including Gallery Educators, are managed efficiently.


The post holder will also support the Gallery's ambitious volunteer programme by working closely with the Learning Volunteer Coordinator in assessing the requirements for volunteer support across learning programmes, and working closely with the Learning Volunteer Coordinator, ensure that volunteers are effectively briefed and deployed.


Furthermore, they will contribute to the full range of Department activity providing systems, logístical and some back up administrative support for a range of learning activity onsite at the Gallery, on outreach and online.

They will support forward planning whilst the Learning Programme Assistants support day-to-day operations.


The Learning and Planning Co-ordinator will be joining the Gallery during a period when new systems and ways of working are being introduced and their potential examined.

A key and integral part of the role is to contribute to these developments and the ongoing enhancement of Tessitura a comprehensive customer relationship management (CRM) system, and its interface with existing Gallery databases including Artifax, the key space and resources management database for the Learning team and wider Gallery as well as the interface with associated records management systems.

The post holder will be expected to take an important role within the Learning and Engagement department, working with the Learning Centre and Planning Manager, to understand and interpret the service requirements of the Department to take forward this work with colleagues.

They will be expected to work closely with the CRM Manager and Contact Centre Manager to advise on the systems and functionality required by the Department and advocate and champion the needs of the Department and the Learning Services team during this period of change, which will require a highly flexible and adaptable approach.


Key Accountabilities

  • To be proactive in meeting regularly with the Programme Managers, attending programme meetings, and organising space programming meetings to understand the logístical, operational and administrative needs of learning programmes and use this knowledge to update bookings databases and liaise with Digital teams to update the learning related sections of the website.
  • To support the active communication of Learning events working with the Learning Programme Assistants, the Learning Volunteer Coordinators and with front of house and security colleagues. Producing and circulating a regular timetable of Learning activity, undertaking daily morning briefings and representing the Department at Gallery wide operations planning meetings.
  • Work closely with the Contact Centre team, Learning Programme Managers and other key Gallery staff towards the timely setup, coordination and booking of all Learning programmes, including for school groups, families and young people, adult and access audiences.
