Line Manager to:

Hours & Location: 37.5 Hours per week, Birmingham


Reporting to the Business Support Manager this is a pivotal role focused on providing administrative support for Directors and providing assistance in delivering our management service contracts.

Therefore a flexible approach to working hours is required.


Assisting with all administrative aspects across all 13 LIFTCo Boards and 6 Internal Boards, including setting up meetings and diary arrangement.

This role also includes the production of attractive Board papers, and accurately managing Board actions, both at and outside the formal Board meetings, along with taking and producing accurate and concise minutes.

This role encompasses managing information kept on our database.

Knowledge, Skills, Experience and Qualifications Required:

Essential

  • Minimum 12 years experience in a similar senior leadership executive support role.
  • Knowledge of IT systems and software.
  • Accurate minute taking and writing up minutes.
  • Proactive.
  • Has presence, commands respect and trust.
  • Proven ability to work accurately and ensure accuracy at all times.
  • Works well and can handle pressure.
  • Highly organized, completer finisher, with a high level of attention to detail.
  • Able to multi task across work areas and prioritise effectively.
  • Inquisitive, numerate and strong communicator both verbally and in writing.
  • Highly proficient in all Microsoft Office (Word, Excel and PowerPoint etc)

Desirable

  • Prior experience of SME/owner managed business in service sectorideally medical or property related
  • Business Administration qualified

- gbp managers and employees, LIFT Boards, specialist consultants.


External:


  • LIFTCo Boards.

Other Considerations:
(i.e., required to travel)

Willingness to travel and this is key part of this role.
Willingness to be flexible with working time and undertaking other ad hoc duties _._


Key Responsibilities:

Boards
Responsible for, amongst other things, meeting set up, minutes and Board process. This should include;

  • Assisting the Board process across all 13 LIFTCo's and 6 Internal Boards.
  • Managing and liaising with different departments to ensure that reports and action logs are received in time for set deadlines.
  • Assistance with LIFTCo websites.
  • Liaising and updating both Managing and Finance Directors on a regular basis
  • Liaising with all Directors regarding availability
  • Ensuring Board packs are complete and accurate
  • Issue the Board packs within the timescale specified by the MSA
  • Attending Boards and writing minutes
  • Issue accurate Board meeting minutes within the timescale specified by the MSA
  • Coordinating ad hoc meetings, conference calls, organising events and workshops.
  • Maintaining an up to date compliant suite of policies and procedures for each Board
  • Any other adhoc duties required.
