Description

Responsibilities:


  • Maintain accurate and uptodate records of hard services activities, including maintenance schedules, equipment inspections, and service contracts.
  • Create and manage databases to track equipment performance, service history, and compliance documentation.
  • Assist in the creation and distribution of work orders to the hard services team.
  • Monitor the progress of work orders, ensuring timely completion and adherence to quality standards.
  • Collaborate with technicians and vendors to schedule preventive maintenance and address reactive service requests promptly.
  • Act as a primary point of contact for external vendors and contractors involved in hard services.
  • Coordinate service delivery, manage vendor contracts, and ensure compliance with established service level agreements.
  • Support the hard services manager in monitoring budgetary allocations for maintenance and repair activities.
  • Generate reports on expenditures, costsaving initiatives, and recommend strategies for optimizing budgetary efficiency.
  • Stay informed about industry regulations and compliance standards related to hard services.
  • Assist in ensuring that all hard services activities align with relevant legal and safety requirements.
  • Facilitate effective communication between the hard services team, other departments, and clients.
  • Collaborate with colleagues to identify opportunities for process improvement and implement streamlined administrative procedures.

Qualifications:


  • Bachelor's degree in Business Administration, Facilities Management, or a related field.
  • Proven experience in administrative roles, preferably within facilities management or a related industry.
  • Strong organizational skills with meticulous attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in using office software and experience with facilities management software is a plus.
  • Ability to multitask and prioritize in a dynamic work environment.
  • Knowledge of hard services and facility maintenance practices is advantageous.

Salary:
£29,000.00-£31,000.00 per year
