Service Administrator - London, United Kingdom - Omni RMS
Description
Responsibilities:
- Maintain accurate and uptodate records of hard services activities, including maintenance schedules, equipment inspections, and service contracts.
- Create and manage databases to track equipment performance, service history, and compliance documentation.
- Assist in the creation and distribution of work orders to the hard services team.
- Monitor the progress of work orders, ensuring timely completion and adherence to quality standards.
- Collaborate with technicians and vendors to schedule preventive maintenance and address reactive service requests promptly.
- Act as a primary point of contact for external vendors and contractors involved in hard services.
- Coordinate service delivery, manage vendor contracts, and ensure compliance with established service level agreements.
- Support the hard services manager in monitoring budgetary allocations for maintenance and repair activities.
- Generate reports on expenditures, costsaving initiatives, and recommend strategies for optimizing budgetary efficiency.
- Stay informed about industry regulations and compliance standards related to hard services.
- Assist in ensuring that all hard services activities align with relevant legal and safety requirements.
- Facilitate effective communication between the hard services team, other departments, and clients.
- Collaborate with colleagues to identify opportunities for process improvement and implement streamlined administrative procedures.
Qualifications:
- Bachelor's degree in Business Administration, Facilities Management, or a related field.
- Proven experience in administrative roles, preferably within facilities management or a related industry.
- Strong organizational skills with meticulous attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in using office software and experience with facilities management software is a plus.
- Ability to multitask and prioritize in a dynamic work environment.
- Knowledge of hard services and facility maintenance practices is advantageous.
Salary:
£29,000.00-£31,000.00 per year
