Roles and Responsibilities:


The Facilities Management Lead role is to deliver the full facilities management function at Horizon Scotland it is an essential liaison role between Key FM and Client Staff.

It also includes the first point of contact for all building users, visitors using the spaces and members of the public.

This role will consist of working as part and running the reception team on the Forres Enterprise park at Horizon Scotland.

The Facilities Management Lead and reception form a close team and is a key part of the central hub for all internal and external enquiries.


The Facilities Management Lead role requires you to be able to multitask, prioritise workloads, communicate with various organisations, previous experience of using Microsoft office packages is essential with a background in facilities management and some knowledge of marketing would be advantageous.


Role activities include, but are not limited to:

  • Day to day running of Horizon Scotland.
  • Ensure all planned and reactive works are scheduled and completed via the supply chain and the building remains compliant.
  • Weekly building inspections and reporting of defects.
  • All Health & Safety monitoring is completed for all internal and subcontracted works and reported via the Key FM HSE manager.
  • Manage building security and fire alarm systems, assist with coordination and delivery of Fire Evacuation drills.
  • Monthly KPI reporting to the client.
  • Reconcile the account with the finance trackers and cashflow document.
  • Preparation of sales invoices for tenants and external customers
  • Debt recovery procedures for bad debtors
  • Updating NDR team with changes or amendments, rental reviews
  • Completing licence to Occupy documents for all new and existing tenants.
  • General Tenant administration
  • Complaint procedures
  • Site visits and inductions to all new and prospective tenants
  • Marketing of vacant units and the meeting spaces to increase income.
  • Absence management for reception staff

Awareness and implementation of Reception duties including but not limited to

  • Answer all incoming calls to the main switchboard for Clients, tenants and the public.
  • Greet and manage visitors, suppliers, contractors, and the general public.
  • Task management for the building and occupants.
  • Opening and closing procedures.
  • Distributing and franking of office mail.
  • Management of the building/room booking systems,and setting up for internal and external events.
  • Coordinate all event requests, catering requests and communicate room layout changes.
  • Assist with basic IT troubleshooting.
The team is required to be multi-skilled and able to provide several support functions as and when required.

It is essential that the team is able to support each other in their respective roles and provide a flexible approach as work requires.


Hours on site for the team is 08:30 - 16:00 Monday to Friday and would be discussed at the interview stage.
