Duties/Responsibilities:


EMCOR UK are offering a Full Time Permanent position for a Senior Contract Administrator to join our team at Eastleigh.

Job Purpose:


  • To assist the Site manager and operational teams by providing timely and effective administrative support to the operation of the contract.
  • To deputise for the Site Manager
  • To manage the Communications process & releases for the contract

Duties:


  • Using Agility software, delivering Facilities Helpdesk Services including the creation and completion of work orders and providing feedback to customers on task progress, taking ownership of and tracking lifecycle of open work orders
  • To assist with the raising of purchase orders as requested by the Site Manager To assist with the producing of operational and monthly reports internally
  • To assist with the full implementation of the IMS and assist with internal audits to ensure fully compliance with EMCOR standard procedures and accreditations
  • To maintain central files for all site staff clothing and PPE.
  • To manage the departments expenses and mileage form submission with accuracy and detail.
  • To work with the team to ensure all IT and Mobile Phones requests and logged and submitted with correct approvals.
  • To log all overtime submissions for projects/new works and client billing
  • To input on JDE monthly paid staff timesheets for costing purpose
  • To ensure all office supplies, stationery and consumables are ordered on time and that supplies are kept to a reasonable level for all contract staff
  • To carry out archiving of documents as and when required.
  • Line Management of one administrator to ensure workload is carried out to a high standard.
  • To cover administrator colleague duties when absent from work
  • Assist the Site Manager with ad hoc administrative duties and projects as required
  • Operate a clear desk policy and be responsible for general tidiness and housekeeping within the EMCOR office environment
  • To design a communications schedule and manage the process and create content
  • To receive and make welcome all visitors to the EMCOR site accommodation ensuring they are correctly hosted and not allowed to unescorted (security clearance dependant).
  • To carry out all reasonable tasks that may be requested from time to time by the client or EMCOR management
  • To provide contract administrative services and in line with contract Service Hallmarks and Customer Service Policy
  • To uphold and promote the good name of EMCOR at all times
  • To contribute towards, further development and implement the ONE TEAM EMCOR objectives.

  • Be an ambassador of the EMCOR Group (UK) plc.
  • To follow EMCOR's Code of Conduct and comply with the Client's company rules and maintain a high standard of discipline.
  • To carry out other duties as may be reasonably requested from time to time by EMCOR Group.

Person Specification:


Skills:


  • Excellent telephone manner and communication skills
  • Smart, presentable appearance
  • Team player with the ability to use of own initiative, an effective and confident administrator
  • Personable, approachable and able to work as part of a multifunctional team
  • Proven track record within customer service and/or similar role
  • Well organised with the ability to prioritise
  • Good IT skills including MS software and knowledge of bespoke software packages with an interest in learning new technologies to improve efficiency and service
  • Working knowledge of facilities management and building operations
  • Able to work under pressure and to defined deadlines
  • Good interpersonal and customer relationship skill
  • High Level of understanding of customer service excellence and the ability to deliver quality service
