    Location: ICMP Kilburn and Queen's Park Campus. Onsite presence is required.

    About the Role

    The role of the Student Casework Officer is responsible for the implementation of institutional student casework processes resulting from academic appeals, academic misconduct, complaints, including disciplinary matters as well as support non-academic misconduct and Fitness to Practice processes.  

    They will also provide clerking support for relevant panels and hearings and maintain accurate records concerning their caseload and queries. As well as this, they will provide advice and guidance on the Institution's relevant policies and procedures and liaise with and advise members of staff and stakeholders to support the actualisation of Casework outcomes. 

    Reporting to the Quality Manager, you will also support them in routine information compliance matters, such as responding to freedom of information requests and data subject access requests. Much of the work of the Student Casework Officer is time sensitive and so you will have strong organisational skills and be able to manage multiple case files simultaneously and to strict deadlines. 

    You will also be able to work sensitively with students and others, noting that issues may be personal and so strict confidentiality will be required. As a writer, you will be able to clearly articulate the reasons for decisions (whether your own decisions or through producing the minutes and outcome letters from panel hearings or investigation). Finally, you will act as an ambassador of good practice and will seek to find themes and trends from the student casework you see to inform the University of ways in which it can improve its service to students. 

    They are expected to deliver higher level quality service and adhere to both the Institution's regulation and any relevant external requirements. This role will also support the Quality Manager and Head of Academic Quality through administrative and clerical work. 

    Key Responsibilities

    Student Casework 

    Manage day to day aspect of ADE UK's student caseworks (academic appeals, academic misconduct, complaints, including disciplinary matters) as well as support non-academic misconduct and Fitness to Practice processes in line with ADE UK's and the relevant Awarding Body's approved policies and procedures. 

    Support the development, enhancement and evaluation of institutional policy, procedure and strategy in relation to addressing student casework processes.  

    Act as secretary to disciplinary, academic misconduct and stage 2 cases panel hearings (and others, as relevant), creating hearing packs, providing procedural advice and guidance to the chair, producing minutes of meetings, and producing outcome letters on behalf of the chair. 

    Maintain up-to-date records of all casework cases and track progress to ensure that cases are progressed and monitored in accordance with the published timelines, and that students are kept informed. 

    Draft correspondence to students and/or their representatives and issue 'Completion of Procedures' letters where appropriate. 

    Familiarise yourself with the Office of the Independent Adjudicator's Good Practice Framework and it's 'Putting Thing Right' guidance and use them to inform student casework decisions and inform the institution's regulatory policies and procedures. 

    Detect themes or trends within student casework and produce annual report on student casework. 

    As appropriate, support the Quality Manager with routine information compliance matters such freedom of information requests and data subject access requests.  

    Working with the Quality Manager, to provide advice and guidance within the institution relating to complex and/or high-profile complaint and fitness to study matters. 

    Organise training and develop guidance documents for professional and academic staff on how to handle appeals, complaints, disciplinary and academic misconduct. 

    Develop guidance documents for students on the appeals, disciplinary and complaints process. 

    Ensure appeal, complaints, disciplinary and academic misconduct and all relevant policies are updated according to any changes made by the OIAHE and awarding bodies. 

    Coordinating institutional responses to external requirements and expectations around student complaints and fitness to study, for example from the Office of the Independent Adjudicator. 

    Maintain the highest standards of professionalism at all times, be aware of potential conflicts of interest and promote equality & diversity for students and staff in accordance with ADE UK policies. 

    Be aware of deadline and adhere to them. 

    Maintain strict confidentiality.
