Staffplus are currently seeking a Permanent experienced Administrator for our client based in Law, Lanarkshire.

Salary - £17,260

Hrs of work - Ideally, Mon, Tues, Wed and Wed, Thurs, Fri alternate weeks.

7.5 working hours with half hour unpaid lunch break equals 8 hour working day.

Start time 9am - Finish time 5pm

Monthly paid


Base would be Law, Lanarkshire, although will also travel to other sites for recruitment etc and there will be the opportunity for some home working.


Part of this role includes being the first point of contact both in person and by telephone for visitors so a professional, friendly and welcoming manner is expected at all times.


The Post Holder will:


  • Carry out duties as delegated by the Branch Secretary
  • Provide administrative and organising support to the Branch
  • Be responsible for maintaining the Branch Membership System based on WARMS
  • Maintain, monitor, review and update Branch Case Management System
  • Develop reporting systems in support of the Case Management System
  • Organise and map Branch Membership
  • Provide telephone advice to members
  • Hold a caseload appropriate to knowledge and skills

Administrative:


  • Maintain the Branch Membership System based on WARMS, producing reports as requested by the Branch Secretary/Committee
  • Liaise as appropriate with all sectors/departments of Client's at local, regional and national level
  • Prepare Agendas and documents, attend and Minute Branch Meetings as directed by the Branch Secretary/Committee
  • Gather and Input data to client's Online Conferencing Systems
  • Organise/book travel arrangements as required for Branch Representatives and as directed by Branch Secretary/Committee
  • Provide a telephone call service to members and Branch representatives, responding to and recording queries/information on appropriate systems, sharing member referrals with Branch Secretary to facilitate appropriate caseload allocation and provide noncomplex advice to members as appropriate
  • Administer Branch training Programmes including the delivery of training at Branch Development Events and provide/deliver training to new representatives /branch staff.
  • Order supplies, maintain good record keeping, manage and have responsibility for petty cash and ensuring all invoices etc. are recorded and forwarded to Branch Treasurer
  • Provide secretarial support to Branch Secretary and Branch Officers, maintain files, carry out typing and other administrative duties as required
  • Maintain an annual calendar of meetings/events, book venues and notify branch officers/ representatives/members of dates, venues etc. as directed by the Branch Secretary
  • General housekeeping within the office environment.

Organising:


  • Member Recruitment using techniques such as:
  • Face to Face
  • Mapping of workplaces and organising regular visits to same
  • Use of stalls and workplace events
  • Use of social media, IT platforms, text messaging and WhatsApp
  • Developing Branch Initiatives to engage activists and members in recruitment
  • Monitor and evaluate recruitment initiatives
  • Recruit, develop and encourage new representatives
  • Survey members on workplace and wider issues as part of the Organising Strategy
  • Implement Branch Social Media Strategy, setting up and maintaining systems of communication including text messaging etc.

Qualifications/Training and/or Experience Required.

  • A relevant qualification at HNC level or equivalent relevant experience in administrative/secretarial services
  • Requirement to undertake Client ERA accreditation training
  • Requirement to undertake Client Lay Tutor training
  • Developed skills in IT systems including Word, PowerPoint, Excel etc.
  • Working knowledge of digital platforms, website development, web editing and social media.
  • Experience in secretarial procedures and processes including typing and Minute taking skills
