As part of ITV Studios Marketing, the Brand Experiences team is a multi award-winning in-house group of experts responsible for bringing our shows, our brand and our business to life for a range of audiences across the world.
In addition to this the team deliver a variety of label-led premieres, creative retreats and in-house Town Halls of all shapes, sizes and formats.
At the heartof it all, we create unforgettable experiences that connect with our audiences, elevate our brand and drive results.
This role entails
This new Coordinator will be the administrative foundation to the team, working across all planned activities to support and underpin the annual Brand Experiences plan and events for ITV Studios.
Key responsibilities:
- Booking travel, accommodation and transport for speakers, clients, talent and other guests as required including managing car bookings onsite at events.
- Preparing and coordinating all event documentation including PPT, google slides and keynote decks.
- Researching event dressing, props, merchandise, stationary and purchase/ hire items as required.
- Guestlist reporting using Salesforce and inbox management preevent for guest RSVPs.
- Coordinating the shipment of collateral and events kit to events within the UK and internationally including packing kit, sourcing items and ordering and overseeing courier delivery.
- Supporting in maintaining events equipment & storage for all items, ensuring a full detailed inventory.
- Project administration: to include and as required scheduling project meetings and room bookings, production and distribution supporting meeting documentation, including agendas, post meeting status reports
- Processing team expenses and raise and manage purchase orders across all projects
- Maintaining the teams project folders to ensure that all events administration support is consistent throughout the year
Minimum role criteria:
- A passion to develop a career in marketing, media and events.
- Excellent organisational & administrative skills with exceptional attention to detail
- A positive can do attitude, willing to get stuck in no matter how big or small the task
- A confident communicator with good written and verbal skills
- Selfstarter, you will work well as part of a team, and on your own initiative
- Passion and interest in what is hot, innovative and current in culture
The Key role criteria is as follows:
- Confident with all Mac operating systems, G Suite, MS office including Excel and Powerpoint
- Understanding of managing and creating databases and templates preferred
- Understanding of organising international travel for delegates, talent and international shipment of event kit
