Job Role:
Administrative Assistant (Band 3)
MPA are excited to be working alongside their large public sector client in the Belfast area to recruit for a Band 3 Administrative Assistant.
Location - Newtownbreda, Belfast.
Hours of Work hrs per week - Mon to Fri 9-1
Salary - £11.11
Contract - Ongoing
What the role entails:
- Make full use of the IT systems available to produce work of a consistently high standard.
- Be proficient with the use of Excel, Access, PowerPoint and Word packages.
- Perform data entry/searches, using the Soscare, PARIS systems.
- Ensure the GAA is notified to complete all necessary ICT documentation.
- Import alerts to the service regarding service users to the RESWS database/PARIS.
- Receive telephone calls deal with enquiries and coordinate information in an efficient, courteous, and friendly manner.
- Ensure quality standards are adhered to in all aspects of this employment.
- Ensure a highquality administrative service is provided to both external and internal stakeholders at all times.
- Typing and circulation of correspondence, to include letters, reports, forms etc.
- Upkeep of all office forms and all associated photocopying.
- Monitoring and ordering of stationery.
- Print referrals and upload to documents.
- Full administration of, and accounting for petty cash, to include processing and recording of all financial documentation.
- Assist with the preparation of statistical information when required.
- Provide cover for other TAA/Personal Secretary to cope with workload variation.
- Liaise with other departments, in a helpful and professional manner to assist in the provision of the service.
- Participate In team meetings, identify administrative problems/improvements to method/systems/protocols etc.
- Any other duties that may be required.
Essential Criteria:
1 a) Four GCSE's including English Language (Grades A - C) or equivalent
OR Have one year's relevant experience
The ability to communicate effectively both verbally and in writing with a variety of people.
Ability to prioritise workload, respond effectively and meet deadlines.
RSA Stage II Typewriting (Parts 1 & 2) or RSA Stage II Word Processing (Parts 1 & 2) or Equivalent
OR
12 months experience of formatting and circulating correspondence, typing of reports and general word processing.
Experience in the use of Microsoft Office
