Key Tasks:


  • Provide an exceptional guest experience to all staff and couriers visiting Reading office locations
  • Ensure smooth and streamlined working relationship and outstanding service at all times
  • Understand, anticipate and deliver customer (internal and external) needs while building effective relationships
  • Maintain personal awareness of all site and team protocols, embracing and implementing new procedures swiftly
  • Ensure prompt and seamless handover of information and special requests/ requirements between team
  • Work closely with the other supply partners for any requests to ensure a one team approach across the contract
  • Run reports where required
  • Positively respond to both our internal and external customers through effective communication and personal accessibility
  • Liaising with client on a variety of matters and attending to their needs whilst maintain a strong working relationship.
  • Maintain ownership and proactively manage all issues in conjunction with the wider FM team
  • Report on any known AV issues to IT
  • Locker set/reset
  • Innovation and suggestions to enhance service delivery
  • Complete meeting rooms set ups as and when required as well other reception/ meeting room duties that are required.
  • Understand processes and procedures and operate them to the required standard. Examples of these are;
  • Take delivery of couriered items throughout the day, log and inform recipient to allow a swift collection.
  • Execute any goods receipt procedures or processes in line with SOP
  • Delivery of mail and items received to buildings users
  • Maintaining up to date electronic data
  • Cleanliness, tidiness and organisation of postroom office
  • Running reports
  • Achieve results within quality and time restraints
  • Perform with an understanding of business requirements and changes and ensuring continuous improvement
  • Actively participate in a diverse and effective team
  • Convey messages and ideas clearly and openly. Involve people and influence decisions
  • Maintain personal awareness of all site and team protocols, embracing and implementing new procedures swiftly

Person Specification:


  • Reliable and conscientious worker willing to learn and develop new skills and adapt to new working environments, ideally interested in FM.
  • Good administrative skills
  • Well organised and good prioritisation and planning skills
  • Service orientated attitude combined with innovative thinking and the willingness to learn more about FM.
  • IT literate with strong experience of working with Microsoft Word, Excel, Outlook and Powerpoint software
