This role supports the day-to-day operations of the London office. The Coordinator serves as a key face of the office, alternating with reception to welcome and host visitors in a polished professional and engaging manner.

Core Responsibilities Guest Experience Serve as a key face of the office alternating with reception to welcome and host visitors in a polished professional and engaging manner Proactively manage the guest journey including iPad check-ins and hospitality touchpoints in our redesigned space Conduct daily meeting room checks to ensure all spaces are presentation-ready meet our high operational standards Coordinate office tours onboarding experiences for new joiners including H&S walkarounds Support delivery of a warm inclusive inspiring workplace culture through proactive ideas initiatives Track report guest meeting metrics monthly e.g room usage cancellations visitor volumes Reception Support day-to-day running of reception including Visitor sign-in pass issue Switchboard call handling Courier mail post processing Weekly grocery stationery ordering Business collateral ordering contractor coordination Temporary reception cover coordination Booking confirming transport for visitors Weekly internal OMERS guest communications Ensuring reception waiting areas remain immaculate Facilities Platform Management Manage ServiceNow tickets daily ensuring prompt closure follow-up across cleaning maintenance IT queries Liaise landlord via Vicinitee raising monitoring maintenance fabric issues service levels Coordinate minor permit requests vendor access logistics via Vicinitee Oversee supplies equipment related DSE assessments ad hoc operational needs Access Control Security Maintain access control logs support internal audits rigorous data housekeeping Create deactivate passes joiners leavers security system Ensure sufficient supply blank access cards maintain alignment Savills Cascade building protest alerts Savills London office Technology Booking Platforms Use EMS daily oversee room bookings efficient space usage Asist EMS training new joiners troubleshooting user issues Assist data gathering monthly reports room utilisation cancellations Maintain productive relationship EMS support team Sustainability Budget Tracking Track report workplace metrics paper use food coffee consumption waste etc Support tracking light budget lines stationery office supplies Flag potential improvements efficiencies greener alternatives appropriate Event Culture Support Support Office Experience Manager internal events I&D initiatives cultural celebrations arranging Christmas decorations annual employee appreciation week Contribute creative ideas elevate workplace experience build sense community Coordinate logistics provide on-the-day support needed Light Contract Vendor Management
