Job Description - Medical Secretary/Administrator

  • To provide an efficient secretarial service for GP's, Practice Managers and Health Professionals as required. This includes the construction of letters, audio typing, reports, patient referrals, minutes etc. in an accurate, timely and quality manner.
  • To record and track referrals to secondary care and other primary care providers on the computer system.
  • Be responsible for eRS, adding information and referrals to the National eRS software, managing the information and lists accordingly.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate referral queries on behalf of the GP's.
  • Establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.
  • To assist Practice Manager and Health Professionals with any clerical and administrative duties as required.
  • On occasions when required, assist with general telephone calls and reception.
  • Ensure comprehensive handover to support other colleagues.
  • Scanning and coding of all patient communication.
  • Work across all G DOC platforms.

  • Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

The post-holder will assist in promoting and maintaining their own and others' health, safety and security as defined in the Practice Health & Safety Policy, to include:

  • Using personal security systems within the workplace according to Practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Reporting potential risks identified
