Essential skills required:
- PC Literacy, fully proficient with Outlook and Microsoft packages
- Competent secretarial and office practice skills, including accuracy and attention to detail
- Appropriate numeric skills, including a basic understanding of invoicing and accounts
- Time management and ability to prioritise work
- Strong organisational skills, with the ability to multitask
- Excellent communication skills and a good telephone manner
- Be comfortable working independently and as part of a team
- Be confident and proactive
- Keen to learn new skills and tasks
- Be prepared to be flexible, with regard to working hours and days worked, in line with the needs of the business
Responsibilities:
- Secretarial support to the Director and Contract Managers
- Provide an efficient telephone answering service in a professional manner
- Fulfil a broad range of admin tasks, including (but not limited to):
- Purchase Orders & Works Orders
- Returns to suppliers
- Hire of access equipment to support electrical engineers on site
- Preparation of Health & Safety documents
- Organise training for Staff
- Renewal of utilities
- Renewal of insurances
- Process purchase invoices and ensure that they are properly authorised
- Stationery ordering
