Performance Management & Quality Assurance Coordinator


Salary:
£20,831- £22,140 per annum pro rata
Hours: 18.5 hours per week (flexible)
Duration: 12-month post, to be reviewed

The main purpose of this role is to lead and manage the charity's data development, take a lead on managing databases, and ensuring our clients website and social media accounts are kept up to date.

Working with Senior Management, you will respond to the dataneeds for external and internal purposes.

MAIN DUTIES:

Data management:

  • To coordinate the Data Information Resources team to ensure that our client's performance management and quality assurance systems are managed, maintained and kept accurate and fully uptodate
  • To manage data for all projects across a variety of data systems
  • To manage the data collated by the administration team and ensure that data is available for quality assurance for internal and external performance
  • To be responsible for organising, generating and delivering data in a timely manner for reports as required by Funders, our client's Senior Managers and Board of Trustees
  • In collaboration with Coordinators and Managers, to devise and deliver new and effective, information management processes
  • Identify emerging trends and gaps in order to inform service delivery and supply information to assist in funding opportunities
  • In collaboration with the IT Support Contractors, Coordinators and Senior Managers, to help develop and refine standard formats for the presentation of data across all projects
  • In collaboration with the website managing agents to maintain the charity's various websites and ensure they are kept accurate and up to date
  • Jointly with the Senior Management, manage our clients Wales social media accounts

General duties:

  • Attending meetings as necessary, taking minutes to relay information to Senior Management
  • Providing a high quality service as the first point of contact for all data information requirements
  • Assisting Project Coordinators and Managers with press and PR requirements
  • In collaboration with the Senior Management team, to ensure the effective operation of our clients data procedures
  • To look for creative solutions for improving data systems and procedures by liaising with other members of staff and feeding back to Senior Management team
  • To help provide training to new and existing members of staff on our clients general and data procedures as necessary
  • To help organise and stage events, conferences etc on behalf of our clients and managed projects, including establishing and maintaining mailing lists, mailouts, and preparing and distributing invitations and programmes
  • To maintain high standards of customer care, treating members of the public, partner agencies, parents, young people and children with sensitivity and respect
  • To ensure that all required information is kept confidential, and maintain discretion on sensitive issues
  • In consultation with the Senior Management team, to undertake relevant training as necessary to enhance personal skills and professional development
  • Undertake other duties as may be reasonably requested within the responsibilities of the post
  • Produce statistical reports in a range of different formats
  • Under the Health & Safety at Work Act, all employees are required to maintain awareness of own and others' Health and Safety and comply with Our client's Health and Safety Policy and procedures
  • Good understanding of data quality and control
  • Ability to analyse and think logically and use data to identify opportunities
  • A clear understanding of statistical principles and excellent numeracy skills
  • Excellent knowledge of producing queries and reports in Excel and Access as well as Paloma and other databases (training can be provided)
  • Excellent working knowledge of Microsoft Office packages
  • The ability to achieve results and work to deadlines
  • The ability to successfully multitask and prioritise workloads
  • Ability to proactively identify solutions to improve data collection
  • The ability to selfmotivate and work on own initiative, and as part of a team
  • Good organisational and administrative and data skills, knowledge of office systems and procedures
  • High level of competence in word processing, including formal presentation of letters, reports and other documents
  • The ability to handle confidential information and maintain discretion on sensitive issues
  • Excellent written communication skills, with a sound knowledge of grammar and spelling
  • A willingness to be trained on, and the ability to learn, a variety of new tasks

Desirable skills and abilities:

  • The ability to communicate effectively in written and spoken Welsh
  • The ability to communicate effectively in a community language (e.g Somali, Urdu, Bengali, etc.)
