What will the apprentice be doing?

The duties and responsibilities to be undertaken by members of the practice team may include any or all of the items in the following list.

Duties may be varied from time to time under the direction of the senior receptionist/practice manager, dependent on current and evolving practice workload and staffing levels.

As an apprentice you will be required to undertake the Business Administration Level 3 qualification in conjunction with Grimsby Institute.


  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Filing and retrieving paperwork
  • Making appointments to see the doctors, practice nurse, health visitor or midwife
  • Entering repeat prescriptions onto the computer, printing out and ensuring that these are presented to the doctor for signing
  • Explaining practice procedures
  • Receiving and recording requests for home visits and notifying the doctors appropriately
  • Opening up/lockingup of practice premises and maintaining security in accordance with Practice protocols
  • Receiving and booking requests for ambulance transport when necessary
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Clearing and restock consulting rooms as required
  • Keeping the reception area, noticeboards and leaflet dispensers tidy and free from obstructions and clutter
  • Filing hospital reports and letters in patients notes daily
  • Ensuring all new patients and temporary residents have correctly completed. registration forms before seeing the doctor
  • Receive specimen/samples ensuring that sufficient patient identification details are entered on the appropriate form to aid identification
  • Ensuring that any unresolved, outstanding matters are passed on to incoming colleagues
  • Ensuring that the office is tidy for incoming colleagues
  • Restoring telephone services to normal daytime use, when required
  • Pulling of medical records as required and filing away.
  • File letters and results
  • Ensure that all recalls are completed either by telephone call or by letter
  • Ensure that surgery sessions are put on to the computer in advance
  • Attend ancillary and other staff meetings and training courses as required
  • Scanning and assigning of letters
  • New patient registrations
  • Making up of Patient Records
  • Assisting with the preparation of Insurance/Solicitor reports
  • Data entry work including READcoding
  • Completing any tasks that are sent through system one
  • Communicating with patients eg: New baby letters, bereavement letters
  • Any other duties as may be required from time to time

Eg:
Dashboard.
E-Consult

  • Assist the medical secretary with letters and hopsital referrals
  • Arranging meetings where required and the chairing and taking of minutes of meetings

A bespoke programme of technical and vocational learning
Functional skills in maths and English*if applicable


As a Business Administrator Apprentice your course will be delivered within the workplace, you will not be required to attend the Grimsby Institute during the delivery of the programme.


What is the expected career progression after this apprenticeship?
Possible permanent contract upon successful completion of the Apprenticeship and further enhanced industry based training
