Description

To provide clerical and administrative support in the appointed area within the Directorate, ensuring strict compliance with Trust policies and procedures.

Ensure effective communication with all members of the Pain Management team.
Ensure that all administration processes are dealt with in accordance to Trust and MOD Waiting list policies
Required to cover for other colleagues during annual leave/sickness or peak workloads.
Ensure that appropriate clinic follow up is actioned as appropriate, i.e. outpatient appointments, investigations, add patients to waiting list
Ensure a clear understanding is obtained surrounding data quality, data protection, case note handling and IPM.
Trace notes back to central library and check all outcomes after the clinic letter have been typed. Transfer note to boxes for transportation to Records library.
Book and prep clinics and/or locate notes required for clinics as/when required.
Transport notes around the Department using trollies as required.
To type up and send clinic letters as required
Assist with gathering of data; i.e., chest x-ray results, blood results for patients attending clinics.
To receive and co-ordinate patients telephone queries with the appropriate member of nursing/ medical staff. This is vital as the unit has daily telephone queries from patients on systemic drugs etc.
To take additional roles as requested i.e., Fire warden, Dementia friendly contact person.

Reception Duties

  • Compile and sort clinic attendance sheets.
  • To receive and welcome patients to the Department, and direct them to the appropriate waiting area after the patient has booked in via the electronic system.
  • Ensure the patients details are up to date on both the computer system and the patients notes.
  • Make followup appointments according to consultant requirements and clinic booking rules.
  • Record patient outcome onto IPM system.
  • Ensure ALL case notes/xrays are available for the clinic.
  • Be polite and courteous when dealing with patients at all times.
  • Carry all patients notes from reception to the clinical area during all clinics.
Appointments Duties

  • Ensure all patients who fail to attend appointments (DNA's) are managed in accordance with the Trust DNA policy
  • Take appropriate actions with regard to telephone calls from patients, GPs and other agencies using initiative, within Trust guidelines.
  • Adhere to correct clinic booking rules, ensuring any cancellations and reductions are put onto PiMS
Clinic Prepping Duties

  • To ensure all patients case notes are available for clinic's where reasonably possible
  • To ensure that the Patient Document Tracing system is kept up to date with the movements of case notes both into and out of the Department
  • Where no records are found for patients on iPMS, to raise a new folder ensuring that a thorough search has been undertaken including contacting Bush Park
  • Ensure the patients notes are fully prepared for the clinic appointment, with the inclusion of the appropriate referral letter, continuation sheets and that uptodate labels and front sheets are printed
  • To request patient case notes in time to ensure adequate preparation
  • Provide and receive support from the team where case notes prove difficult to locate
  • To follow Trust procedures for requesting patient notes, xrays, organising contents of patients notes, requesting and printing clinic attendance sheets
The post holder will undertake any other duties commensurate with the role and grade for this post.

**Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.
