Role Summary:


As a leading property management specialist, we are looking for a driven individual to assist in the successful 'on-boarding' of newly awarded developments.

This role will be to ensure the smooth transition into our business for new Clients.

Beginning with our initial appointment the role will assist right through to the day-to-day management carried out by the Property Management team.


You will work closely with the Head of Client Relations and Operations Teams, supporting in the mobilisation phase, and ensuring all actions are completed before handing over to the Property Management team.

They will assist in ensuring a seamless handover to the Property Manager and will remain involved in the onboarding phase until a steady state of the development and client satisfaction is achieved.


Key responsibilities include, but are not limited to:

  • Assist with the preparation of new-business proposals with the Head of Client Relations
  • Assist with the collation of information required to create a comprehensive and accurate development record
  • Facilitating the receipt of full operational handover information for the development
  • Accurate input of all Development Record details onto the property software system such as leaseholder information upload
  • Working closely with the Finance department to ensure accurate invoicing and service charge records are received following the financial handover
  • Preparation and issue of bespoke welcome letters and packs to leaseholders and residents
  • Completing the set up records and procedures for developments including signage audit, arranging Health and Safety Assessments and Surveys, setting up out of hours information records, supplying utility information, updating Companies House details for RMC's/RTMC's
  • Completing the setup of maintenance contracts for the developments, including communicating with contractors to gain tenders or renewals, and issuing of annual contracts
  • Assist the Operations Teams in the process for asset gathering during the mobilisation phase
  • Ensure actions are closed out in a timely manner from onboarding site visits carried out by the Head of Client Relations
  • Assist in the organising of Leaseholder & Resident meetings, placemaking and social events etc
  • Assisting the Head of Client Relations in the day to day management of newly awarded developments during the onboarding phase until handover to the Property Manager. This will include administrative tasks such as raising PO's, arranging contractors to attend site etc
  • Assisting the Property Management and Operations Team in property management duties from time to time

Key Competencies:


  • Residential Property Management experience
  • IRPM (Affiliate) qualification or working towards
  • Understanding of Block Management, Landlord & Tenant legislation, H&S and Building Compliance
  • High degree of interpersonal skills
  • Good customer service and have a positive attitude
  • Good organisation skills and attention to detail
  • Confident communicator to internal colleagues and clients
  • Able to work under pressure and meet deadlines
  • Qube software experience is desirable but not essential
  • A professional, positive, and friendly approach and polite telephone manner
