Description
Responsibilities:
- Manage the executive's calendar and schedule appointments. This includes prioritizing meetings and ensuring there is enough time in the schedule for important tasks and projects.
- Prepare reports, presentations, and other documents for executive meetings. The Executive Assistant will be responsible for creating and formatting reports, and ensuring that all materials are complete and submitted on time.
- Assist with the planning and coordination of events and meetings. The Executive Assistant will be responsible for planning and executing company events and meetings, and coordinating with vendors and internal stakeholders to ensure that everything runs smoothly.
- Provide general administrative support, such as handling phone calls, filing, and organizing documents. This includes maintaining paper and electronic files, and ensuring that all documents are organized and easy to access.
- Handle confidential information with discretion and professionalism. The Executive Assistant will be responsible for maintaining strict confidentiality when it comes to sensitive information and making sure that all information is kept secure.
Requirements:
- Strong organizational and time management skills. The Executive Assistant should be able to prioritize tasks and manage their time effectively to ensure that all tasks are completed on time.
- Excellent communication skills, both written and verbal. The Executive Assistant will be responsible for communicating with internal and external stakeholders on behalf of the executives, and should be able to communicate effectively and professionally in all situations.
- Proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel. The Executive Assistant should have a strong working knowledge of these programs and be able to create professionallooking documents and spreadsheets.
- Experience with online communication tools such as Slack, Zoom, and Google Meet. The Executive Assistant should be comfortable using online communication tools to facilitate communication with internal and external stakeholders.
- Proactive and able to work independently, as well as part of a team. The Executive Assistant should be able to work independently and take initiative when needed, but also be able to work effectively as part of a team.
- Familiarity with project management software is a plus.
