Overview

To perform this role well, we require:

  • Experience of having used database management systems to maintain records in accordance with GDPR
  • Excellent attention to detail with a keenness for processes
  • Previous experience of high volume data entry/management
  • Strong written and verbal communication skills with the ability to confidently and positively communicate with all levels of stakeholders
  • Ability to effectively balance conflicting priorities whilst keeping to tight deadlines
  • Experience of using Microsoft Office, particularly Excel
  • Able to effectively influence and guide a team
  • Keenness to learn and develop skillsets
  • Fluent in English (both written and spoken)

Desirable experience would include:


  • A clear understanding of best practice in relation to preemployment screening methods and processes including any legislation updates and changes
  • International / Cross border prescreening experience
  • Previous experience with Recruitment/MSP/RPO background
  • Have a clear understanding of the processes that need to be carried out to complete prescreening
  • Previous experience working within an employment screening function and with outsourced vetting providers
  • Demonstrable working knowledge of government legislation in relation to employment screening

An insight into some of your responsibilities:

  • Ensuring all new contractors are fully screened as per Oliver James requirements prior to the contractors start date, and managing the process from start to finish
  • Creating clients and screening requirements on internal databases, along with documentation and client specific forms
  • Right to work documents checks, chasing any Visa expiring before end date of the assignment
  • Requesting all screening checks such as professional qualifications, DBS, Credit check, international fraud sanctions or obtaining client waivers where necessary
  • Chasing missing paperwork, contracts, screening documents, client confirmations
  • Creating and processing all extensions paperwork, chasing client confirmations
  • Using DocuSign to send all contracts/consent forms
  • Updating and ownership of risk logs highlighting issues to manager
  • Resolving inbox queries and liaising with Consultants on a daily basis to ensure compliance
  • Changing/creating new client records on internal databases and communicating with consultants on outstanding issues
  • Monitoring client/RPO portals
  • Population of termination letters
  • Updating internal systems with dropper, early finish information
  • Maintaining internal databases to allow efficient payments and billing
