Job Title:
Finance Assistant


The Finance Assistant will also undertake any other task or work which arises within the scope of the role in order to meet the needs of the organisation.

Some travel will be required in this role and a clean driving licence is required.

Duties will at all times be undertaken in compliance with Autism Initiative's Policies and Procedures, including Health and Safety.

The main duties and responsibilities of the role:
The Finance Assistants duties must be carried out in accordance with prescribed procedures and include the following:


Management / Financial Accounting:

Assist the Finance Manager with the following in relation to AI Ireland / AI Northern Ireland and Associated Companies:
a) The maintenance and development of the accounting systems, both manual and computerised as required;
b) The maintenance and development of the Purchase, Sales and Nominal Ledgers as required;
c) The timely completion of all month end financial procedures including reconciliations, production of financial reports / information and assist with credit control as required;
d) The timely collation and provision of financial information in preparation for the annual audit and year end accounts production;
e) Assist the Finance Manager with collating, evaluating and reporting on departmental accounts as required.


Purchase Ledger / Payments Section
a) Monitoring and processing of purchase transactions for the organisation, ensuring all expenditure is properly authorised in line with company policy;
b) Assist the Finance Manager with purchase ledger duties as required. This may include the preparation, processing, verification and payment of supplier invoices within a computerised environment;
c) Checking, preparation and payment of MasterCard and Employee Expenses in line with company policy.

d) Assist the Finance Manager with the monthly review of month end creditors as appropriate


Payroll

Assist with payroll processing including:
a) The input of data for salaries and ensuring that such payments are properly certified and made appropriately, including checking and processing of time sheets and control sheets.

b) Appropriate storage/archiving of source/output documents;
c) Assist the Finance Manager as and when required with any other payroll duties and provide cover as necessary.


Internal Audits

Assist the Finance Manager by ensuring:
a) Departmental audit are conducted in compliance with AI financial procedures on a regular basis;
b) Assist operational managers with the interpretation and implementation of financial policies within their services; and

c) Co-ordinate internal audits and maintain financial records to an agreed format.


General
a) The Finance Assistant will assist with day to day finance queries and any issues should be escalated to the Finance Manager as appropriate;
b) The reconciliation of the bank, petty cash and any other balance sheet reconciliations as required;
c) Preparation and input of journals to the nominal ledger system;
d) Ensure that all relevant ledgers, documents and vouchers required to produce annual accounts are maintained to the satisfaction of the Auditors and other relevant external bodies.

e) Assist with reviewing and updating Finance Policies as required.


Sales Ledger / Income Section
a) Assist the Finance Manager with sales ledger duties as required.


Administrative Duties
a) To conduct work processing, photocopying and postal duties as required;
b) To develop and maintain an efficient filing system and databases

c) Liaise with staff and external organisations in a helpful and professional manner

d) Provide assistance in setting up new services including electricity/gas/heating oil services, telephone/broadband service, TV services, waste collection services etc

e) Ensure the office is maintained to a satisfactory standard of tidiness and cleanliness.

f) Assist the Finance Manager with any other duties consistent with the nature and level of the post as may be required.

Qualifications:

GCSE Maths and English, Grade C or above, or equivalent

Accounting Technician Qualification


Experience:

Working knowledge of basic financial record keeping

Experience of using Microsoft Office including excel to manipulate data and produce reports

Experience of working in a similar role


Skills / Abilities
Excellent accuracy skills and attention to detail

Good interpersonal skills and ability to communicate clearly both verbally and in writing through all levels of the organisation

Ability to manage internal and external relationships

Ability to work with minimum supervision, setting and working to agreed objectives.
