Job family definition

Roles within the Business Support job family are dedicated to optimising professional, sales and marketing and administrative services, which support the work of other job families in making Eden successful.

Role purpose

Provides a range of administrative support within a designated area of the organization, ensuring the effective and efficient delivery of administrative services which support the day-to-day activities of a major operation or key business function with Eden.

Key accountabilities

  • Develops and manages administrative systems and procedures, ensuring computerised and paper-based records are updated promptly and accurately in accordance with agreed security and confidentiality standards.
  • Provides administrative support in a range of departmental activities including diary management of team members, venue and resources, purchase ordering, filing, co-coordinating departmental correspondence, and responding to enquires.
  • Assists the departmental team with the management of meetings by coordinating diaries, booking and equipping meeting rooms; circulating agenda items; taking, typing and circulating minutes.
  • Assists with the compilation and production of management information, retrieving and collating data and information for inclusion in regular and ad-hoc reports.
  • Actively engages and interacts with all contacts answering questions, providing guidance and imparting knowledge in order to ensure an appropriate open and professional culture from within the team.
  • Co-ordinates and manages the filing and updating of departmental policies, procedures and systems, ensuring all documentation is up-to-date and accurate.
  • Assists other teams within Eden where cross functional working is required to ensure appropriate administrative efficiencies are being maintained.
  • Reconciles the events budget expenditure to raise orders and track current spending, ensuring compliance with internal financial procedures.
Demands of the role
Education & qualifications

Numeracy and literacy must be at a sufficient level to enable the job holder to use intermediate IT programmes, maintain accurate records, interpret policies and procedures and produce information reports.

Knowledge & skills

The jobholder will have gained at least two years previous experience of working in a clerical or administrative role with a focus on financial procedures.

Knowledge of intermediate office systems and procedures is essential as is the ability to communicate at various levels within and outside of the organization.

Decision
- making

Most decisions are routine in nature, drawing upon the jobholders existing knowledge and skill level (which will develop further within the role).

Complex or serious situations which fall outside of existing procedures are referred to a senior member of staff to address.

Resourcefulness

The majority of tasks are well defined but there is an occasional need for some adaptive thinking when developing new administrative procedures or protocols.

People & asset management Shared responsibility for the security and confidentiality of paper-based records and computerized data.
Communication & visitor experience

The job holder is regularly required to engage, communicate and interact with a wide variety of colleagues and clients, providing and exchanging information in support of their queries/requests and ensuring customers receive incredible customer service throughout their whole booking journey.

Operational environment
The role will be largely office based with ability to work on site if required to support events including the Eden Sessions
