Job summary:


We, at the Defence Primary Healthcare (DPHC), have an exciting new opportunity to work within the team at David Stone Medical Centre, RAF Brize Norton, Oxfordshire as an Administrative Assistant.


You, as the post holder will be responsible for providing a high standard of Administrative support to the Community Mental Health Department inclusive of some admin support to the clinical team.

This vacancy is advertised at 37 hours per week. Request to work flexibly or Part Time will be considered, taking into account business needs. Please note the salary will be pro-rata where part time hours are undertaken.


Job description:


As the successful Administrative Assistant Receptionist you will be providing high quality support in pursuit of the delivery of primary healthcare to entitled personnel.


You must be versatile with duties to include running/manning the reception when directed, maintaining data on Defence Management Information Capability Programme (DMICP) managing General Practitioner (GP links), answering telephone queries, managing hospital appointments via the e-Referral (electronic) system, appropriately managing incoming and outgoing mail, scanning and other areas of administration as directed.

As the Administrative Assistant Receptionist, you will have a major impact in promoting a positive image of the Medical Facility to patients and other users.


Person specification:


Responsibilities include but are not limited to:

  • Liaising with patients, Medical Officers (MO's) and Medical Treatment Facilities to ensure correct patient contact details available, arranging of appointments and dealing with any queries.
  • Supporting GPs/ANP (Advanced Nursing Practitioners) in the process of e referrals, following local protocol.
  • Providing administration support to the clinical staff including the use of Microsoft office, assisting with general typing duties.
  • Providing administrative support to Administrative Officer/Clinical Team in practice development and training activities.
  • Filing and archiving of clinical and nonclinical documents both electronic and hard copy using scanning and physical storage.
