Your Mission:


The Facilities Coordinator is responsible for proactively supporting the local Epson Sales office as well as small remote offices in countries/cities, ensuring an excellent working environment for its employees and its activities.

Supporting the administrationelements and duties of the Facilities team.

The position is based out of our Sales and Marketing Office in Hemel Hempstead, UK.


What will you do:

Property Management

  • Provide back up and support the Facilities Controller with the relationship with the landlord and suppliers, ensuring positive relationships are maintained. Highlight any issues and requests in a timely manner and escalate solutions that are in Epson'sbest interest commercially
  • Assist and support a proactive maintenance plan is put into place by Epson and the landlord, where applicable to ensure that the building services are fully functional and we protect our asset investment
  • Coordinate work of contractors. Support the introduced permit to work system. Check that agreed work by staff or contractors has been completed satisfactorily and follow up on any deficiencies. Evaluation of vendors, RAMS, risk assessments
  • The role will also focus on professional standards, internal and external frameworks to ensure we are delivering best practices in line with the Epson vision
Facilities Services

  • Assist all essential local facilities services to include but not limited to such as reception, goods in, security, business continuity, maintenance, mail, archiving, cleaning, insurance issues, catering, travel services, car fleet administration and wastedisposal & environmental activities
  • Monitor and report issues recorded via the computerize issue logging system (HEAT)
  • Assist the Facilities Controller with the allocation and utilisation of space and resources for building (such as desk, car parking spaces and equipment), including proactively identifying future desk and equipment requirements with internal customers,and managing desk moves and associated documentation
  • Assist the storage and recording of facilities stock
  • Assist with the maintenance of the Facilities Share Point site to ensure all requested information is filed correctly, made available as required & up to date
Contract Management

  • Be a back up point of contact for all facilities related contractor relationships, including local landlord, maintenance support and other local services
  • Investigate, identify and put forward ideas for improved services and cost savings
Financial Management

  • Assis the Facilities Controller to prepare, report and manage full year budget plan with regular forecasting
  • Assist Facilities team with creating NTPOs via SAP, providing back up to other team members, accurate invoice and PO processing to ensure prompt payment for services procured
  • Coordinate asset and inventory management, ensuring accurate records are maintained for submission to
Facilities Business Controller

  • Support EMEA Facilities insurance activities, working with local brokers and supporting claims handling as requested by EMEA Facilities management
Health and Safety

  • Support a high quality safe working environment, which is compliant with current health & safety legislation, other relevant environmental regulations, company standards (including SEC policies) and industry best practices. Assist with manual handling trainingif required
  • Conduct any risk assessments relating to the office or project work are undertaken as necessary
  • Support the Fire Marshalls and First Aiders ensuring that their training is up to date. Ensure there is a current, documented, tested and communicated Evacuation Plan

  • Good written & verbal communication skills
  • Health & Safety and security skills gathered in a corporate office environment

  • Project awareness
  • Microsoft Office suite. Experience with SAP, AutoCAD and/or Sharepoint is highly beneficial,
  • Fluent in Local Language and English, with demonstrated influencing skills
