Hours:
Full time, 40 hours per week, Monday to Friday, 30-minute unpaid meal break each day


About the position:


To provide dedicated, professional and efficient support on all HR Administrative matters to the wider business on behalf of the HR department.

To organise and maintain personnel records to an high standard. To be the first point of contact for employee enquiries and absence related queries. To provide support to the HR Team relating to projects and or any other related duties which may arise.


Key Tasks and Responsibilities will include:

  • Forwarding 5-year reference checks and DBS /CRB information to the outsourced referencing agency and ensuring that these are chased up and secured within the SLA of 3 weeks.
  • Liaising with managers to ensure that all 5year background checks are in place prior to the probation period end dates expire for nonregulated sites.
  • Coordinate the employee onboarding and induction/orientation procedures, ensuring all the necessary documentation is completed timey, returned filed and recorded.
  • Prepare and issue all correspondence and or associated paperwork for all new starters, contracts, contract variations, template letters, probation reviews and leavers.
  • Maintain and update employee records on IRIS cascade, employee relations trackers electronic files and tracker spreadsheets ensuring accuracy and confidentiality.
  • Setting up new starters, recording leaver details, and recording all stages of the absence, poor performance and disciplinary related policies and procedures.
  • Answering/directing incoming telephone calls and provide telephone and face to face advise to employees across the business on HR transactional related matters including starter, leaver, probation, holiday entitlement, sickness reporting, family friendly policies.
  • Update organigrams to reflect organisational changes including new starters and leavers.
  • Tracking and liaising with managers for probation reviews and drafting and issuing probation review outcome letters and all associated paperwork.
  • Prepare all OH referral template requests as directed and escalate the employee reports for action to the HR & Training Advisor.
  • Assist in maintaining records required for legal and regulatory purposes including preferred supplier lists, DBS checks.
  • Collaborate with the HR and Payroll officer to ensure accurate and timely processing of employee payroll and resolution of payroll related queries.
  • Providing first line contact for employee on the sickness absence reporting line.
  • Co coordinating all data relating to sickness absence including the Bradford Factor including recording data in cascade and liaising with managers regarding absence management.
  • Preparing Bradford Factor absence reports and escalating to the HR & Training Advisor.
  • Generate HR reports via IRIS Cascade and support to compile data for various HR metrics and analyses as and when required.
  • Collate and record annual employee performance review information on Cascade.
  • Support the HR Team to organise training and development programmes for employees. Maintain and update mandatory training and records as directed by the HR Team, including but not limited to the security database, Hellmann learning hub & online security training portal.
  • Assist in the implementation of HR Initiatives and Projects as and when assigned.
  • Provide administrative support to the HR Management Team through the completion of and not limited to scheduling meetings, preparing presentations, managing calendars, maintaining office supplies, drafting and issuing template letters.
  • Providing administrative support if necessary to Company Directors or as requested including but not limited to the booking of flights, car hire, taxi booking, hotel bookings, general room bookings, booking lunches and preparation for board or customer meetings and any other administrative related tasks as requested.
  • General office duties including some filing, photocopying and dealing with incoming post and attend meetings as note taker if required.
  • To review the approved hotels for the most competitive rates for the company annually.
  • To Support the HR Team to track, record, process any correspondence relating to the apprenticeship scheme and internship programme if required.
  • Issue exit interview document to leavers, populate and collate information on a tracker document.
  • To carry out any other reasonable request in line with the responsibilities of the role of HR Administrator.

About you:


Essential:


  • 1+ years' experience in a HR Administrative role
  • CIPD Level 3 Qualified or working toward a HR Qualification
  • Ability to prioritise workloads on a daily basis whilst meeting essential deadlines.
  • Familiar with HR Systems and integration e.g. IRIS (Cascade)
  • Intermediate/advanced knowledge of Microsoft packages
  • Excel, Outlook and PowerPoint
