Vaccination:
The successful applicant may have contact with patients or service users.

As an NHS Trust we strongly encourage and support vaccination as this remains the best way to protect yourself, your family, your colleagues and of course patients and service users when working on our healthcare settings.

This post will provide support to the wider administrative team, to ensure a smooth, effective service is delivered.

This will include first line telephone support to patients, use of the patient record system to enter or retrieve information, and supporting the efficient running of the service.


We are looking for an enthusiastic person who enjoys a challenge and a variety of tasks, and has strong multitasking skills.

You will need to have a good standard of education, previous admin / PA experience (previous medical secretary experience would be desirable), excellent communication and interpersonal skills and a high level of IT proficiency (particularly Microsoft Office).

The ability to work as part of a team is essential. The postholder will need the ability to deal professionally with emotionally distressed and vulnerable patients and their families/carers.

Previous NHS experience is desirable, and previous experience of Systm1 and EPIC is also desirable.


Palliative care is the care of patients, and their families who have an advanced progressive life-threatening illness, where the prognosis is limited and focus of care is on quality of life.

The patient may have cancer or another progressive disease such as heart failure, chronic respiratory disease, a neurological condition or any other organ failure.


The Palliative care team comprises of doctors, clinical nurse specialists, occupational therapists, a physiotherapist, palliative rehab assistants, social workers and administrative support.


The service is based over two sites (reasonably proximate to one another) and the postholder may be expected to attend both sites as part of their working week.


Duties and Responsibilities:


  • To prioritise own workload, effectively manage competing priorities within own workload and also the wider general office environment. Provide cover/crosscover for other medical secretaries and administrative team within the service as and when necessary and during periods of absence, to ensure the continued smooth running of the office and service.
  • To produce (including audio typing or downloading documents from dictation software) any confidential reports, letters, clinic letters, medical reports, medicolegal documents, and completion of various forms to a high standard of accuracy and in a timely manner using Microsoft Office and to take appropriate action arising from the content of such transcription.
  • To be the primary pointofcontact for the Palliative Consultants. Deal with enquiries on their behalf, take messages accurately, give information and advice (not medical) to GPs, relatives and other staff involved with the patient in a manner responsive to customer needs and in accordance with consent to share information. To have the skills and knowledge to redirect queries to relevant people if necessary.
  • To prioritise and deal with incoming and outgoing mail / correspondence, including confidential correspondence in a timely and confidential manner, taking action and drafting replies where appropriate.
  • To actively maintain and manage an efficient diary system with and for the palliative consultants (electronic/paper), arrange appointments, book meetings ensuring room booking and efficient time management and forward planning of clinics, leave etc and ensure sensible and effective time management of such.
Coordinate travel/accommodation arrangements as necessary. Schedule in on call shifts and arrange swaps as necessary.

  • To arrange and attend meetings as directed, prepare agendas, take minutes as requested, type minutes of meetings and take forward any assigned action points as appropriate.
  • Where appropriate organise postgraduate teaching sessions, junior doctor teaching session etc. as and when required.
  • To inform all relevant personnel of the doctors' leave / absences to ensure accuracy of recording keeping, effective rota compilation and efficient use of resources. To record the doctors' leave / absences accurately in the availability sheets to enable Lead Clinician and Team Lead to keep accurate record of this.
  • Maintain an effective filing system (electronic / paper) to support consultants in the efficient delivery of their roles.
  • To support the wider service with the telephone answering service respond independently and courteously to queries / telephone calls from relatives and visitors (some of whom may be in a highly distressed state) and other health professionals using own initiative and experience, identifying where queries need to be directed.
  • To work and deal with highly sensitive and sometimes distressing information and ensure relevant and appropriate information
