Purpose:


As the Cluster Finance Assistant the post-holder will join the finance team to work alongside the other Finance Assistants & Cluster Finance Manager to cohesively support the smooth running of the Portsmouth Cluster (Castle View Academy, Beacon View Primary Academy and The Victory Primary School).


Main Core Duties:


  • Process requisitions and purchase orders for the cluster, ensuring proper financial control of the purchasing process in accordance with agreed procedures.
  • Ensure that all procurement is accounted for and is recorded in the appropriate budget allocation and ledger codes. Investigating and resolving supplier invoices under query, arranging returns and ensuring that refunds or credit notes are received.
  • Facilitating supplier payment runs in accordance with the United Learning schedule.
  • To answer direct telephone enquiries from suppliers, customers, staff, pupils, and parents.
  • Ensure accurate records of supplier contact details are maintained and updated in accounting systems with other finance colleagues.
  • Administer lettings including responding to enquiries, facilitating new agreements, ensuring that all appropriate paperwork is completed and recorded, and that income is billed and received accordingly.
  • To provide support to other colleagues within the finance team with their workload at busy times.
  • Assist the Cluster Finance Manager in tracking and monitoring budgets and reporting back regularly to budget holders.
  • Track and monitor income via the cash management and online payment system.
  • Responding to and supporting parents with accessing online payment systems.
  • Preparation of the weekly banking and assisting with bank reconciliations as and when necessary.
  • Ensure that all month end tasks are completed within the required time frame.
  • Maintain a comprehensive contracts database, to ensure that renewal and notice deadlines are adhered to as appropriate.
  • Assisting with maintenance of the Fixed Assets Register and maintaining the school inventory.
  • Assisting as required during the financial audits and end of year preparation.
  • Maintaining high standards when managing confidential information, always complying with the school's data protection procedures and legal requirements.
  • Providing administrative support for the Cluster Finance Manager
  • Work under own initiative to ensure workload is prioritised and efficiently completed.
  • Attend meetings and training sessions as required.
